1)            Announcements

·         Martha Hruska updated the Technology Services Division Web page. As result links to TSSC and TSMG sites have changed.

·         TSSC and TSMG fall meetings dates have been scheduled.

 

2)            Updates:

·         Aleph

1.     TS/PS August 11th meeting follow-up

          Martha reported on the August 11, 2004 Joint TS/PS meeting

          On Friday Dee Hawes and Vanessa Jewett will begin working with Doug Kiker, Doug Smith, and Jorge Gonzales referencing circulation processes.

          The A-Team has looked at Library East current periodical titles and other materials with temporary item location codes that are not displaying and noticed that the default is request retrieval.  These items do not display even if "select all" is chosen.  This is due to the way that the Web OPAC is set up as the default to request retrieval.  A suggestion was made to change the default to "select all" instead of request retrieval.  Rich Bennett is not sure that this is an option.

 

2.       Test and report file updates

          There is now a reports server at FCLA.  To Rich's understanding every night a flash copy of production data is being made that includes permissions.  He noted that no work should be done on the reports client that has to do with updating information.  This type of work must be completed using the production client.  Discussions are taking place about report server permissions. Betsy Simpson noted that reports can  be run on Nancy Williams' computer.

          Rich will provide instructions to liaisons and others who need to use the new reports client.

 

3.       Checklist status

          We still need to work on a checklist for system acceptance in each functional area. Betsy has started working on one for Cataloging.

 

4.       Permissions Status

          We are still working with the generic (and generous) initial permissions. Rich will work on implementing specific permissions for each client.

 

5.       Vendor MARC records for e-journals

          The Continuing Resources Policy Group is looking at whether MARC bib records should be purchased to load into our catalog for all the electronic journals.  Products offered by Serials Solutions and MARCit (ExLibris related product) will be reviewed.  This purchase would have to be made out of the Libraries book budget. 

·         Budget update - Michele Crump, all

§         The book budget has been set at $8 million.  This total is subject to change.  Martha asked committee members that get allocations out of the budget to communicate with John Ingram about what their needs are versus what was in the preliminary allocation.  Approximately $3 million has been spent, mostly on prepayments.  The invoice payment process is functioning, but very slowly.

·         Reclass project plans - Lawan Orser

§         Periodicals reclass - 1980 to date will be moved back into Library West once construction is complete.  The question still remains as what to do with periodical cataloging information.

§         Decisions also have to be made concerning how reclassed collections will be arranged and how reclassed materials will be listed in the catalog.

·         TOC enhancements

§         Betsy Simpson and Julia Allen are meeting this afternoon to discuss the reports on the test load received from BNA.

·         Library web - Tom Minton

§         The new Library Web site has been up for a couple of weeks.  Feedback has been minimal.  The most overwhelming request has been for a link to the Aleph sign-in page.  Tom Minton will check with Public Services staff as to whether this is a good idea.

§         Tom should be notified about incorrect or non-functional links.

§         Tom began drafting the staff site yesterday.

§         Library Council will discuss the editing software and will be asking departments to review who Departmental Functional Web contacts should be.  There will be one staff member in each department who will be responsible for the overall design of the department's pages and others that will only able to edit pages. 

·         Systems - Bill Covey

§         Bill noted that any IP address problems noticed should be reported to SysHelp. Campus has made some changes that may have an affect.

·         Status of new task forces (See TSMG minutes)

§         The Institutional Repository, Archival Technologies, and Resource Navigation task force charges are being drafted.
