African Approval Cataloging Procedures
African approval materials require special handling. We generally do not set up check-in records for them. We receive them irregularly, and do not claim issues. Also, it is very unlikely we will be able to replace lost issues. They are seldom (as yet) available in an online version. Therefore, the workflow for them needs to be different.
- Pay close attention to the location on the approval flag. Only serial materials that have been selected for afri or afri,per should be cataloged for that location.
- If processing added pieces or volumes that have been selected for afri or afri,per make a new location for the added pieces, and leave older pieces or volumes in the old location. (The Area Studies people may not choose to move all our holdings of the title.)
- Be sure to add the notation "afrapp" in the NOTES area of the copy to which you're adding. See the copy holdings screen for more help.
- We give detailed holdings information in the holdings area for all African approval items, even if they are periodicals. Add the notation (unbound) to the holdings line you create for periodicals. Create a call number label for the periodical. Use a plain paper flag (the approval flag is best if it's still with the piece) so that the Current Periodicals staff can designate it as an African Approval periodical.
- All African approval "non-periodicals" -- SrTp or S/T is blank -- receive a piggyback barcode and are sent to binding, even if they normally would receive a permanent barcode and remain unbound.
- DO NOT create item records for or add barcodes to African approval periodicals.
