Database Maintenance
SUMMARY OF ACTIVITIES: FY97-98
Kept up with staff development programs organized by the University Libraries,
the University Personnel Office, and the UF Faculty Support Center. Tim
Hartigan participated in the Libraries' Systems Liaisons, applied FCLA's
ARROW Program to identify and resolve problems in LUIS, and created a web
page - a part of the department official page. Lawan Orser learned PowerPoint
and used it in a joint presentation with David Hickey in February 1998
on "FCLA Statistics: Relevance to Managing Operations."
Engaged in collaborative projects with SUS colleagues in advancing the
application of new technologies to improve the coverage and accuracy of
the library online catalog. John Hein, UNF and Maggie Hogue, FCLA continued
to be key players in many database maintenance projects.
Lawan served on the Collection Maintenance Sub-Committee of the SUS "University
Digital Library Review Committee."
Updated Database Maintenance Web Pages.
Completed the development and the testing of a Library Collection Inventory
System. A report on the system was made to the
Technical Services Steering Committee in October 1997.
Inventoried monographs in Library West Dewey classification 811.3 to 811.5c,
the monographs and serials in Dewey classification 720 in the Architecture
and Fine Arts Library, and the monographs in all Dewey and LC classifications
in the Music Library excluding the sub-locations. Also helped barcode and
create item records for all volumes in the Music periodicals collection
in preparation for their inventory in FY98-99.
Introduced the use of electronic shelflists in Collection Review Process.
The shelflists were generated by the Inventory Software and included each
volume's circulation statistics. The electronic format allowed for easy
transmittal of lists of deselected titles to other SUS libraries. Of the
1,523 deselected volumes in Library West's Dewey 100s classification, 434
volumes were forwarded as gifts to the libraries of the University of North
Florida and the Florida Gulf Coast University in response to their expressed
interest.
Added 814 retrospective titles to LUIS. These were titles identified in
the Unlinked Item Records and Collection Inventory Projects as not present
in LUIS.
Processed 3,624 volumes in the withdrawal, transfer, and reclassification
activities: 85.2% (3087 volumes) were withdrawals; 10.3% (374 volumes)
were tranfered to other locations within the UF Libraries; and 4.5% (163
volumes) were reclassified to the Library of Congress Classification.
Linked 11,049 unlinked item records, created 4,111 linked items for existing
LUIS records, and added 4,617 barcodes to previously created item records
that had no assigned barcode, thus enabling the display of the volumes'
circulation status to library users in the online catalog.
Above activities are reflected in FCLA statistics. The FCLA/SUS Record
Counts by Call Number dated July 9, 1998 showed a reduction of 5,246 unlinked
items records in the Dewey and 5,011 in LC classifications in the UF Processing
Unit from the same time last year.
Continued resolving duplicate records in LUIS. A total of 3,075 duplicate
records were deleted in FY97-98. A majority of those were identified by
the duplicated Library of Congress Card Number.
Compiled and submitted lists of 2,711 old missing or lost titles for Collection
Management Review.
