Database Maintenance

SUMMARY OF ACTIVITIES: FY00-01

  • Collection Inventory. We completed the inventory of the Latin American Collection (LAC) in Smathers Library in February 2001 and began the inventory of LAC collection in Storage in March. Total volumes inventoried this year were 130,917, an increase of 18 % over last year.
  • Statistics of Internet Links in WebLUIS. Data from FCLA Index of /urllist enabled us to compile and analyze statistics of Internet links in the library online catalog. The number of links grew dramatically from 11,517 on July 3, 2000 to 33,204 on July 2, 2001. The loading of 10,975 NetLibrary records in June 2001 changed the landscape of Internet links among processing units. Until early June, e-federal documents in the UD processing unit accounted for the majority of links in the UF Libraries System, ranging from 51 % to 62 %. After the NetLibrary load, 50 % of Internet links were in the UF processing unit, and, 55 % as of early August when IFAS e-publications in the EDIS Project were loaded.
  • Broken Links Report. We continued to provide monthly list of broken links to catalog units in all UF locations. This collaborative effort produced excellent results. While the numbers of Internet links were in the ten to twenty thousands, the numbers of broken links were in the fifties to seventies for 9 months from July 2000 to early March 2001. Web Host changes by the new administration in Washington and by several prolific e-publishing organizations caused the rise of broken links in April and May.
  • Link Checkers Re-Examined. Broken links statistics were not kept in June and July 2001. Workstation upgrades in Resource Services Department and the imminent implementation of Windows 2000 prompted a re-examination of link checking software for the UF Libraries.
  • Collection Changes. Withdrawal, transfer and reclassification activities by unit staff increased from 4,198 volumes last year to 5,777 volumes this year. Ninety-three percent of the changes (5,356 volumes) were withdrawals, 5 percent (295 volumes) were transfers, and 2 percent (126 volumes) were reclassed. The majority of withdrawn volumes were from Library West. Mead, LAD, Belknap, Journalism, and Music collections, as well as the Resource Services Department have weeded volumes from their areas.
  • Staff Activities
  • Acknowledgement. Assistance from SUS colleagues have contributed in no small measure to work in database maintenance. John Hein, Head of Technical Services at UNF continued to extract and process data files in the Collection Inventory Project for us. The project reached a milestone of 300,000 inventoried volumes in February 2001. Pat Crabb of FCLA provided data on circulation and collection statistics which proved helpful in our activities' planning. Many thanks to both. We look forward to continued help with projects in progress, as well as in new areas as may be needed in future projects.
