Report of Preservation Department Activities
Nelda reported that Preservation has completed the necessary reshoots on the first 12  reels of film shot in Preservation.  [The reshoots were necessary because of focus problems with the camera.]  The camera has been fixed and is now in excellent working condition.  One completely new reel of film has also been shot in the month since our last meeting.  [N.B. Production was limited in March due to the University's Spring Break and the departure of all filmers for one week.]  Approximately 20 reels have been shot, processed, duplicated and quality control inspected so far.  Once a second positive is created for these reels, the camera/print masters will be shipped to the appropriate storage facilities and one positive will be sent to the National Agriculture Library.  It was previously determined that the UF positive will be housed in Library West rather than Marston Science Library because the project has a more historical than scientific focus.  Nelda will begin producing Microfilm Technical Information Reports (MTIR's) soon, which will then allow for microfilm product  updates to be entered into OCLC.

Report of Resource Services Department Activities
Susan has been officially appointed Visiting Librarian with commensurate salary, benefits and sick leave.  She spent the month updating/upgrading 90 cataloguing records for monographs and pamphlets.  She also catalogued three serial titles, which comprised 43 volumes.  Her next title to tackle will be 50-60 years worth of Annual Reports. 

Future Cataloguing Work
The filmers currently have plenty to do, especially since the month of March was spent doing mainly reshoots.  However, since they are now moving along swiftly , it was felt that some discussion on what titles should be cataloged next was needed.  There are plenty of complete and incomplete serials that need attention.  Nelda asked that the remaining analytics (the blue guys!!) be cataloged in consecutive order.  [This will allow filmers to shoot them in order, even if they are not on the same reel.]  Also, there are still some monographs and theses/dissertations that will need original cataloguing records created. It was agreed that serials should be done first, with Susan slowly 'picking' at the analytics and doing the monographs later.  It was also agreed that Josefina (the USAIN student in Resource Services) will begin to examine the incomplete serials runs currently gathered in R.S., so that she can begin to interlibrary loan or borrow missing issues, if possible.   Naomi recommended that if ILL is unsuccessful, the serials list may be a place where requests could be made. 

Budget
Nelda and Cathy will examine the budget before the next meeting.  There may be funds left over that could be used to film additional titles/volumes, if we can achieve project goals before December 2000.  Jimmie suggested asking IFAS Extension Offices for materials to film, either to fill in missing issues from serials or for completely new titles.  Many IFAS Extension Offices have small libraries, but their collections are not catalogued. 

Other Business
Cathy reported the official letter allowing the extension until December 2000 has not yet been received, but should be forthcoming from Wally Olsen at Cornell University.  Our next meeting will be held May 10, 11:00am in the Smathers Library Conference Room.
