That we plan to continue normal business goes without saying. But, it bears repeating that we endeavor to find more efficient ways of doing the same old thing.

Associated Library Goal:
        Security and Preservation of Library Materials

Objectives:

• Examine and evaluate titles currently part of security duplicate list for
  • use statistics
  • condition of loose and bound materials
  • multiple security duplicate subscriptions
• Begin a review of titles by Collection Management, to determine retention or addition of titles

Progress:

• December 2000: Information from ARROW reports being examined.  Circulation statistics being compiled from LUIS.
• April 2001: Information from ARROW reports and LUIS were compiled into lists for each Collection Manager.  Each Collection Manager received a list of titles falling into his/her selection areas, along with information such as availability of microfilm, multiple subscriptions, history of withdraws and holdings, to help Collection Managers make retention decisions.  
• May 2001: Binding Unit has received responses from six Collection Managers and will begin forwarding subscription cancellation requests to Resource Services for processing.
• 12 June 2001: Cancellations were forwarded by Binding Unit Head to John Ingram, Associate Library Director for Collections Management Division, for approval.

A continuation of fiscal year 1999/2000 goal.  Progress since beginning of project is listed below.

Associated Library Goal:
        Security and Preservation of Materials

Objectives:

• To make stand-alone electronic media (i.e. CDs and CD-Rom without accompanying books) available to patrons in the open stacks, while keeping them safe from vandalism and theft
• Gather statistics about number of stand-alone media currently at Marston Science Library and their current circulation rate
• In conjunction with Marston Science Library Staff, determine most effective circulation, shelving and evaluation policies for test project
• Order correct number of security cases
• Implement policy and train staff
• Evaluate effectiveness of test project by keeping circulation statistics, observing condition of materials shelved next to security cases and polling patrons

• July 1999: MSL and Preservation Staff met to evaluate samples of security cases
• August 1999:
  • MSL staff forwarded information about their stand-alone media to the Binding Unit Head
  • Binding Unit Head is currently creating a Microsoft Access database to track the information gathered by MSL staff
  • Kwik-Case security cases ordered by the Purchasing Department
  • Binding Unit Head met with Monograph Copy Cataloguing Unit to discuss changes that will occur in work flow once security cases arrive
• September 22, 1999: 150 Kwik-Case security cases and 150 jewel cases arrive in Preservation Department
• September 30, 1999: Meeting of MSL, Resource Services and Preservation Department staff to discuss work flow issues concerning introduction of security cases into the open stacks at MSL.  A report of this meeting, which includes procedures for cataloguing and processing these materials is now available online.
• mid-October, 1999: Preservation Department staff finished applying Tattle Tape to Kwik-Cases and required labels to jewel cases and delivered these to Resource Services and MSL.
• October 26, 1999: Project formally begun.  Resource Services should begin cataloguing CDs and CD-Rom and monographs with these items according to the guidelines established at the September 30, 1999 meeting of MSL, Resource Services, and Preservation Department staff.  MSL staff should begin updating Notis holdings of materials shelved behind the circulation desk and transferring them to the open stacks.
• December 1999: Database completed and information from CDs and CD-Rom previously catalogued and shelved behind MSL circulation desk entered.
• October 2000: Binding Unit Head and Preservation Department Chair, Cathy Mook, attended meeting of Serials Policy Committee, at which Cathy and Pam Cenzer agreed to write a report outlining the outcome of the pilot project.

Investigate Centralization of Monograph Binding

Objectives:

• Determine state of monograph binding at each Library that currently binds monographs, including
  • amount of binding done
  • amount of OPS funding committed to monograph binding
  • condition of monographs in stacks, including new books
• Determine ability of each Library to effectively and accurately evaluate condition of materials and determine proper conservation/preservation treatment required

Progress:

• October 2000: Preservation Department staff began binding monographs and pamphlets for the Marston Science Library, on a temporary basis until a vacant LTA position at MSL can be filled. 
• 01 January 2001: Preservation staff have processed 37 pamphlets and 16 monographs for the Marston Science Library.  
• May 2001: Preservation Department staff continue to process Marston Science Library monographs and pamphlets.  Monthly statistics are available online at http://web.uflib.ufl.edu/preserve/binding/stats/00-01.htm for continued updates on production.

• Identify and bind, as necessary, "problem items" located in Room 207
• Identify and bind all non-brittle periodicals that are currently shelved in the stacks

Progress:

• September 2000: Preservation student assistant trained in periodicals binding procedures
• October 2000: Binding Unit Head met with Ann Lindell, Acting Chair of AFA Library, and John Seay, Binding Assistant at AFA, to discuss the project.  Preservation staff began working on "problem items" located in Room 207 after this meeting.
• January 2001: Student assistant began working with unbound non-brittle materials in stacks, starting in Library of Congress call numbers, A.
• February 2001: Binding Unit Head has completed processing "problem items" in Room 207. 
• May 2001: Student assistant will not continue work during the summer semester.  All binding of non-brittle unbound materials in the stacks will halt until the Fall 2001 semester, or until a new student assistant can be hired for this task.

Objectives:

• To bind monographs that have circulated at least once in the past five years, which meet one or more of the criteria for binding.  Criteria can be found online at http://web.uflib.ufl.edu/preserve/binding/fromptop.html and http://web.uflib.ufl.edu/preserve/binding/manual/cbb.htm.

Progress:

• 22 January 2001: Binding Unit Head spoke with the Education Library's Library Binding Committee Member, Carol Whitmer, to determine the scope of the project.  It was decided that approximately 5 boxes of monographs would be pulled from the Education Library's circulating collections for each shipment.  This amount will allow Education and Preservation staff to keep up with other necessary tasks, while this project is in process.
• 25 January 2001: Preservation staff pulled the first five boxes of monographs from the Education Library, in preparation for the 31 January 2001 shipment.  Binding Unit Head or student assistants will pull five boxes of monographs each non-binding week.
• May 2001: Student assistant charged with pulling monographs from the Education Library will not work during the summer semester.  Therefore, most work pulling monographs in need of binding from the Education Library's stacks will halt until the Fall 2001 semester or until a student assistant can be hired for this duty.

Objectives:

• To identify and rebind all pamphlets and monographs bound in green pamphlet board, which has been shown to be acidic.

Progress:

• November 2000: Binding Unit Head and Preservation Department Chair met with Colleen Seale, Acting Chair of Humanities and Social Science Services, to discuss project.  It was determined that Preservation staff would pull materials, one truck at a time, beginning at Z9999 and move forward.  Reference staff would then determine if materials were to remain in Reference collection, be moved to circulating stacks, paged or storage collections, or withdrawn from the collection.  Materials to remain in the Libraries' collections would be rebound by Preservation staff, withdrawn materials would not be processed for binding.
• 30 November 2000: Preservation staff pulled one truck of materials from Reference, beginning at Z9999, moving backwards through stacks.
• 07 December 2000: Preservation staff began binding preparations for materials that would remain in the reference collection.  This included removing acidic green pamphlet board, creating item records for all items, and entering into LARS.
• 20 December 2000: Materials shipped to commercial bindery.
• 27 December 2000: Second truck of materials pulled from Reference stacks by Preservation staff.  Reference staff are currently examining those materials and deciding upon location changes, as necessary.
• 03 January 2001: Materials returned from commercial bindery.  215 pamphlets and 168 monographs were bound by Preservation staff, in this shipment.
• June 2001: Reference staff have selected materials for rebinding from the second truck of materials pulled in December 2000.  Binding staff are preparing these for the 11 July 2001 shipment to the bindery.

Create and Update Online Documentation

Objectives:

• Publish documentation and information online that have previously been lacking from Binding Unit's website, including
  • Thesis/Dissertation information for students
  • Thesis/Dissertation information for Library staff outside of Preservation
  • Frequently Asked Questions for students and staff

Progress:

• October 2000: The Preservation Department formed a web design committee, to create templates that will be used for top-level and lower-level web pages.  Therefore, the Binding Unit has not posted any online documentation pending creation and approval of  templates.
• February 2001: Preservation Department has approved a wed design for all departmental and unit pages.  Binding Unit Head has begun updating pages with the new design.
• June 2001: Binding Unit Head is continuing to update pages content and lay-out, in addition to adding new pages in areas where documentation was lacking.

Associated Library Goal:
    Increase Productivity and Efficiency

Objectives:

• Request demonstrations from Information Conservation, Inc. the parent company of our contract bindery, Southeast Library Bindery.  A minimum of two demonstrations should be conducted: one for the Heads of the Preservation Department and Binding Unit, as well as one for the entire Library Binding Committee as a group.
• Evaluate ABLE for the ability to archive information, ease of use, ease of setup in a network environment, etc.

Progress:

• 01 August 2000: Requested demonstrations from ICI, to take place at the next Library Binding Committee Meeting.
• 06 December 2000: Steven Wells of ICI demonstrated ABLE software to Unit Head and Department Chair, as well as to members of Library Binding Committee.  Unit Head and Department Chair determined that ABLE's security features are not adequate for the University's binding needs.  Most critical is the lack of unique user IDs and passwords and the inability to create separate permissions for individual users and accounts.
