

NATURAL DISASTER
and HURRICANE EMERGENCY PLAN

This plan is specific to the Marston Science Library, Building 43. Plans specific to other library buildings are also available. All of the Libraries' plans are based on a single template. Comments on and revisions to this plan are always welcome, send them to Carol Drum at cdrum@ufl.edu.
This plan is specifically for the one natural disaster most likely to befall Florida, hurricane. Because hurricane warnings are posted several hours prior to anticipated landfall, this plan assumes that there will be plenty of time for a leisurely evacuation of the building and for completion of preparatory tasks.
MARSTON SCIENCE LIBRARY BUILDING EMERGENCY COORDINATOR INFORMATION.
Emergency Preparations
- The MSL Building Emergency Coordinator (BEC) and/or assigned personnel will supervise and coordinate all activities associated with the preparation of the facilities, evacuation of all persons, and protection of collections and equipment.
- This plan will be reviewed with all members of the staff on a yearly basis--prior to hurricane season.
Natural Disaster/Hurricane Watch Alert
- Notification of a Natural Disaster/Hurricane watch will be issued by the University Emergency Operations Center to the BEC.
- The watch will be announced over the loud speaker in the MSL indicating a natural disaster/hurricane watch is in effect and its expected duration, as appropriate. Updates will be announced as received. Natural disaster/hurricane warning plans will be reviewed.
Natural Disaster/Hurricane Warning Alert
- Notification of a natural disaster/hurricane warning will be issued by the University Emergency Operations Center to the BEC.
- The warning will be announced over the loud speaker at the MSL indicating that the building will be closed shortly and evacuation should begin immediately.
- All full time staff will indicate their departure time on a roster which will be placed at the Information Desk. This will reaffirm after all tasks are completed that the building has been successfully evacuated. Student employees will be released immediately by their supervisor after assigned duties are completed.
- Upon the announcement of a natural disaster/hurricane warning, MSL staff will perform the following
tasks
- Make certain all windows are closed.
Responsibility: Building Coordinator backed up by the MSL Chair and Assistant Chair
- Check the roof access doors to make certain they are closed.
Responsibility: Building Coordinator backed up by the MSL Chair and Assistant Chair
- Verify building is cleared and shut down compact shelving.
Responsibility: Circulation staff
- Lock front doors and verify circulation assignments.
Responsibility: Circulation staff
- Shut down all computers in the building. Also, move any computers near windows into a safer area.
Responsibility: Individuals will close down their own workstations. The Systems Liaisons will be responsible for shutting down public-use computers and moving the equipment located near windows.
- Lock all departmental doors.
Responsibility: As staff evacuate offices, the last person out of an area will turn off lights, lock doors, and verify with BEC that the area is secured. Areas which must be verified: L209, L215, L206, L306, L110, L101A and L107.
- Turn off all photocopy machines.
Responsibility: Xerox staff if they are in the building. Circulation staff if Xerox staff are not present.
- When the building has been cleared and electronic equipment shut down, the BEC announces over the
loud speaker that all personnel should immediately evacuate the building.
- The building is powered down.
- The three control units are turned off.
Responsibility: Systems liaisons.
- The three elevators are brought down to the 2nd floor and turned off.
Responsibility: Circulation staff.
- Turn off power switches to the five floors.
Responsibility: Circulation staff.
- Verify successful building closure and leave the area.
Responsibility: BEC, Building Coordinator, or Assistant Chair
