CONSERVATION: TIP IN
Errata or replacement pages need at times to be inserted into bound volumes. The following procedures apply to the techniques and methods of placement of these pages to ensure the least amount of damage to the volume and to ensure the greatest possible life for the replacement pages.
SCOPE
These guidelines apply to all types of bound materials and all styles of binding. Items considered rare or unique should be excluded from these guidelines and routed to the Conservation Unit.
DEFINITIONS.
Errata sheets are correction sheets, usually supplied by the publisher, to correct an error, add information missing in the volume, or occasionally to add information obtained after the volume was printed. Errata sheets may not always be full size sheets . Replacement pages are photocopied sheets inserted into the volume to either replace pages removed from the volume, replace damaged pages, or add pages that were never in the volume when it was bound. This occurs most often in serials sent for commercial binding. Refer to photocopy procedures for production standards for photocopies. Tip in procedures vary according to the binding style. Styles covered in these procedures include; sewn through the fold, oversewn, adhesive bound, side stitched or staple bound.
MATERIALS
Materials needed for the process include; waste paper, PVA and brush, bone folder, silicon paper, and sharp knife or paper cutter.
GENERAL PROCEDURES, REPLACEMENT PAGES.
- Replacement pages should be double sided and on acid-free paper. (See procedures for photocopies).
- No more than five pages should be attempted to be inserted in the same place in any volume. If more than five pages are to be tipped in, the material should be routed to the Conservation Unit.
- The replacement pages must have at least 1.5 cm or 1/2 inch margin on the binding edge.
- The Volume should be inspected at the point of the tip in for signs of damage. Check the pages before and after the missing page(s) for tears, cuts, loose pages or any damage to the sewing and / or case. If damage is detected, do not tip in the replacement page. Send the materials to the Conservation Unit. If no damage is detected proceed.
TIPPING IN SINGLE SHEETS.
- Open volume to the place of the tip in and set aside.
- Take page to be tipped in and place in volume.
- Center page from top to bottom, using a pencil, mark excess paper and trim on paper cutter. TRIM ONLY THE TOP AND BOTTOM AT THIS TIME. NOT THE FOREDGE. After trimming the page, lay it on a piece of scrap paper , placing another piece of scrap paper over the top leaving 5mm of the page at the spine edge exposed.
- Using the brush, apply PVA to the exposed edge.
- Remove the top waste sheet, pick up the page and place it as far as possible into the volume.
- Smooth with bone folder, insert piece of silicon paper, close and set aside to dry.
TIPPING IN MULTIPLE SHEETS. (UP TO FIVE).
- Proceed as above. Collate pages and place them on clean scrap paper.
- Arrange them so the upper page(s) overlaps the lower by 5mm on the binding edge.
- Apply adhesive to the exposed edges and immediately gather together, gluing the pages together.
- Flip the glued together pages over and apply a 5 mm strip of glue to the reverse and continue.
ERRATA SHEETS
Small size errata sheets should be tipped in according to these procedures. Placement on the page will be determined by where information needs to be deleted or changed. If the errata sheet contains a number of corrections for several different places in the book, it should be tipped in after the title page.
