SHELVING OF NON-BOOK MATERIAL

The Catalog Department forwards to Preservation non-book materials that are going to be shelved within the open stacks. The Conservation Unit must prepare these items to sit in the stacks with regular books. These guidelines address the issue of how to prepare these items for open shelving.

MUSIC LIBRARY EXCEPTION:
As to their request, all items located in the Music Library should be sent directly there without further work. They will review the material and decide on the appropriate housing.

These guidelines are separated by items that are accompanied by printed material and those that are not.

TYPES

CDs, CD-ROMS

Items received with printed material.

Frequently books are received with a supplemental cd or cd-rom. Collection Management has made the decision that these items should be kept with the book. They are handled as follows:

Stand Alone Items. (No printed material).

The following procedures apply to those items received without and supplemental printed material:

AUDIO CASSETTES.

Accompanied by printed matter.

Audio cassettes accompanied by printed matter are sent to Commercial Binding. See Commercial Binding procedures for the handling of these items.

Stand alone audio cassettes.

If the stand alone audio cassettes location is the Music Library, then the item is forwarded there with no further treatment.

If the location is anything other than Music, then the cassette or cassettes are boxed within a spare CMI box. A pocket is made to hold the cassette and the box is properly labeled with the call number. They are then returned to the holding library through regular distribution.

VIDEO CASSETTES

Accompanied by printed matter.

Video cassettes accompanied by printed matter are handled individually depending on the size and format of the printed material. They may be sent to Commercial Binding, may be boxed, or pamphlet bound as format requires. These items need to be treated on an as needed basis since it is difficult to standardize treatments.

Stand alone Video cassettes

Video cassettes should all come in a hard plastic or hardboard slipcase. Since this size is similar to a book no treatment other than labeling is needed.
