Library Binding Committee Meeting Minutes
October 20, 1999

In Attendance:

Victoria handed out the binding statistics for the first quarter of 1999/2000.  If we want comparisons to last year's stats, ask Victoria.

We watched the video Victoria recorded on her recent visit to the SE Bindery in N.C.  It really highlighted the fact that binding is a very labor-intensive process and that some mistakes are inevitable.

SE is getting many requests for oversew when not enough margin exists.  Make sure there's at least 5/8 inch of margin (1/4 inch if previously bound).  We should double-check the title properties and the actual binding of the journal to make sure the style doesn't need to be changed.

Correction jobs: NC=no charge, their mistake; CO=charge, our mistake.

There was a meeting about the new CD security cases.  The pilot project in the Marston Science Library will probably start within the week.  The cases are designed so that the CD can sit on the shelf with the print item.  They are targeted, so they can't be taken past the security gates.

Emily asked if new items in Judaica can be bound right away.  There's sometimes no room for the date due slips (and that the date due slips are sometimes placed at the Hebrew "beginning").  Victoria said that those items could be sent to the bindery.  She also said Preservation could tip in a blank page for the date due slip.

Rod asked about shipment dates.  Do we have input?  After some discussion, Victoria said that when Scott from SE gave her the tentative schedule, she would pass it to us for comments.

Emily offered up some SE boxes.  If we have extra boxes, we can ask around to see if anyone needs them. If not, we can break them down for storage, or ask the building recycle coordinator about disposal.

John asked about Condition-Based Binding.  The old binding policy was to bind paperback monographs after first use.  Now, we send the paperbacks after some wear.  It doesn't have to be after the very first check-out, but still should be done before the book is in terrible condition.

Emily asked about the yellow packing slips with SE returns.  We should remove them from the box and check the information printed on the slip.  The slip will tell us if any items are being held.  We should also check the account number and name to make sure the slip belongs to us.  If we get a slip that's not ours, we should send it to Victoria.  If there are no mistakes, the slip can then be recycled.

Next week, Victoria will attempt to archive the first quarter binding stats on LARS.  After that, only the jobs from October will be visible.  The binding committee will have read-only access to the archives.

If any unit is getting funding from Preservation to pay for binding student assistants, they should send a copy of the student's timecard to Preservation, each pay period.

Next meeting will probably be in January.  Definite date to be decided later.
