Introductions
New members, Pam Williams and Victoria Naipavel were introduced to the members, who then, in turn, introduced themselves.
RFP
National Bindery presented a demonstration on their binding software, ABLE, Wednesday, January 6 at 11:00 am, and Southeast Bindery will present a LARS demo on Friday, January 8 at 1:00 pm. Bids are due January 12, 1999. Committee members expressed a desire to have a copy of the RFP and Cathy Mook will distribute them electronically, allowing you to print a copy of it for your own records if you so desire.
Position Description
Standard position descriptions have been submitted to the Public Service Committee and a meeting between this committee and Cathy Mook will take place Wednesday, January 27th to discuss them. Copies of these position descriptions were distributed at the September 1998 LBC meeting. If you would like another copy, please contact Cathy.
LARS Information
A small demonstration on how to search for pieces across jobs was attempted, but computers were not cooperating. To search for a piece when you do not know the piece number or even the job number, go into the Job Status Database Screen in LARS. (That is the one which lists all the old and current jobs). Under Options, the first choice is Search Jobs. Click on Search Jobs. A dialogue box asking for your account number (66670) and your subaccount number appears. Fill that out, along with your best guess as to the correct job number. Then, use the call number or short title to search for the piece.
Corrections
Heckman Bindery has asked that we handle corrections in the following manner. First, instead of putting corrections in with existing monographs, periodicals or serials jobs, a separate LARS job should be created. A new format code, CO, should be used for corrections, no matter what format the material originally possessed. Second, the last digit of the 2-digit product type should be replaced with a 9. Therefore, if a book were being corrected, its product type is no longer 21, but 29 instead; a periodical (14) would be 19 now. And last, make a Xerox copy of the original ticket, send this copy with the correction, and store the original ticket in your office for documentation purposes.
LARS Jobs for Serials
Serials, those items which are published once per year or less, should, as of now, have their own LARS job. The product type for serials is 12 and patterns should be established and saved in the database. Not only will this keep the set of volumes looking uniform, but it will cut down on the amount of data that must be entered each time a volume is bound. Training for establishing new patterns will occur as needed. Please contact Cathy when you need to bind a serial.
Problems with Title IDs in LARS
Since the compression of subaccounts within LARS, there have been problems searching the Title ID database. If doing a Title ID search within LARS does not produce an exact match, the database should be searched using "next" and "previous".
Personnel Changes
Tom Cetwinski is leaving Library Personnel, and will be replaced by Pam Cenzer from Marston. Denise Bennett will take over Pam's position in the Marston Science Library.
Serials Discussion with Marie Kennedy
Marie asked our procedures for dealing with missing issues in a collection of serials. The general consensus was to first claim the missing issues, then issue a back order, then consult collection management, especially if cost is a factor. Every attempt will be made to bind complete collections, but collections will be bound incomplete, if the missing cannot be acquired.
Other Items
A small sheet with July-October statistics was distributed. Student OPS hours will remain the same for the Spring term.
