MINUTES:
LIBRARY BINDING COMMITTEE
MEETING
November 4, 1998

Meeting commenced at 9:10 a.m. - MSL 1st floor conference room
In attendance: John Seay/Architecture and Fine Arts Library, Cathy Mook/Binding Unit Head, Emily Madden/Judaica Collection, Mary Gallant/Latin American Collection, Rod Uecker/Marston Science Library, Michele Wilbanks-Fox/Music Library
Presiding: Cathy Mook

  1. Update on HSSL Monographs LTA position
Cathy reported that the position has been advertised and that several interviews have been conducted. The position will be filled as soon as possible with the most qualified candidate.
  2. Update on the RFP
The RFP proposal was routed to purchasing in September. It was routed to the legal department the end of September. However, due to a temporary staff shortage in the legal department a final resolution has not yet been drafted. Consequently, a three-month extension with the Heckman Bindery has been negotiated, so UF will continue to have their binding done with Heckman until approximately 1st April.
  3. Position descriptions for OPS and USPS
Input from the various members of the binding committee has been duly received and noted. Eric Kesse is writing a justification for the positions and will submit this to Martha Hruska and Carolyn Henderson Allen this week.
  4. New Web Page Structure
A new binding manual is now available through the Library Preservation web site. The new manual is titled "Nine Steps to Successful Binding." Opinions from the binding committee, particularly with regards to the term definitions, are solicited.
  5. LARS Training Updates
By today (Nov. 4, 1998) at 3:30 p.m. all binding staff will have had training in the use of the LARS system.
  6. LARS 3.0 and Subaccount Compression
    · The LARS software will be turned off Friday, Nov. 6, at 12:00 noon in order to upgrade to LARS 3.0. Monday a.m. the new version will be installed; therefore from Friday at approximately 12:00 until Monday afternoon LARS will be unavailable for use. The new version will have some new features, among them a short title search capability and a spine view. Further explanations of the new features will be forthcoming. · Subaccount Compression: now each unit has two binding accounts; this weekend the two accounts will be compressed into the one bearing the smaller of the two numbers. This is to facilitate the compilation of statistics and for accounting purposes.
  7. Next Meeting - Wednesday, January 6, 1999
The next meeting of the binding committee will be on Wednesday, Jan. 6, 1999, in the MSL 1st floor conference room.
  8. Comments/Concerns/Conclusions
Several questions were raised concerning the ramifications of the LARS 3.0 software, especially in regards to file naming, history, etc. In conclusion, however, the committee concluded that the new features of the software will be even more user-friendly and will facilitate binding tasks.

    Respectfully submitted: Mary Gallant
