Meeting commenced at 10:05 a.m. in the conference room of Marston Science Library. Committee members introduced themselves. In attendance were the following:
Justino Llanque of the Latin American Collection, John Seay of the Architecture and Fine Arts Library, Carol Whitmer of the Education Library, Linda Hacker of Marston Science Library, Mary Gallant of the Latin American Collection, Rod Uecker of Marston Science Library, Mil Willis of the Map Library, Michele Wilbanks-Fox of the Music Library, Susan Clarendon, binding unit assistant, Preservation Dept., and Cathy Mook, binding unit head, Preservation Dept.
The meeting was conducted by Cathy.
- Statistics
Cathy provided the committee members with a handout detailing changes in binding statistics for each branch and HSSL from the '96-97 year to the '97-'98 year. She said the statistics, gathered from Heckman invoices for these years, demonstrated that the previously mentioned large drop in numbers had, in fact, occurred from the '95-96 year to the '96-97 year, not in the most recent year.
Justino asked about books that had in the past been prepared for binding and sent to the Preservation Dept., but then were not sent out to the bindery in a timely manner or had been returned to the branch unbound. Cathy said she could not comment specifically on the problem since it predated her arrival at U.F. in July, but she did take note of the issue.
- Standardized OPS and USPS position descriptions for binding staff
Cathy provided a handout with two position descriptions that she developed from position descriptions of those already involved with binding at the U.F. libraries. She said the OPS job description could be used by Binding Committee members that must provide information to the U.F. departments that post notices of job openings for students. Cathy asked that Binding Committee members provide her with any comments about the position descriptions by Sept. 30. She said the OPS position description had been posted on the Binding Web Page for several weeks, but that she had not yet received comments from Binding Committee members.
Cathy said the finalized position descriptions will eventually be used to develop performance measures for OPS and USPS personnel. Performance measures are, she said, a priority for Director of Technical Services Martha Hruska.
- LARS training
Cathy reported that, since the July Binding Committee meeting, she had been to all but one of the branches for LARS training sessions with staff. She said the results had been positive and that the latest shipment to the bindery had very few hand-written binding slips. Using a computer monitor projection device set up in the conference room, she then gave a demonstration of how to create a "report" from a LARS job, including options of how to sort records by a variety of fields, such as call number or title.
- Binding RFP
Cathy reported that the U.F. Purchasing Office had modified and approved the RFP and that it is currently in the legal department for review.
- OPS Student hours
Cathy reported that following receipt of Binding Committee members' requests for student assitance, as well as his review of the current budget, Preservation Dept. Head Erich Kesse has assigned to the branch binding units weekly student OPS hours as follows:
- AFA - 5
- Education/Judaica - 4
- HSSL Serials - 10
- Latin America Collection 15
- Marston Science Library - 4
- Leaf attachment methods
Cathy discussed the
Web Page that she has prepared to provide information on leaf attachment methods, including criteria for selecting different methods of leaf attachment, costs for each method, and how to designate selected leaf attachment on the LARS-generated binding ticket.
- Next meeting
Cathy said the Binding Committee would meet next on the first Wednesday in November. She said she would choose a 9 am time for the meeting if that time were available for use of the MSL conference room; otherwise, she said, the meeting would again be scheduled for 10:00 am.
Justino mentioned that his work schedule from 10 am to 7 pm would prevent his attending a 9 a.m. meeting.
Linda said, "I feel like we're more informed than we've ever been."
