Library Binding Committee Meeting Minutes

Resource Services Round Table Discussion
Resource Services has asked Victoria, along with Naomi Young and Tim Hartigan, to present at a Round Table Discussion of holdings records. Victoria will be speaking about MARC holdings are updated by binding unit staff. In order to best present this information, Victoria confirmed with the committee that all members add holdings before the material is sent to the bindery. She also clarified the standards for documenting missing issues and updating Order Records. Finally, the committee discussed the protocol for documenting supplements in Holdings. They should be listed on a separate line, if they are significant importance to warrant adding to the volume holdings. These details can be found in the Serials Handbook.

Pamphlets
In the past there have been quality control issues with the binding of pamphlets. The present method of binding pamphlets, in archival board, is time consuming for the bindery and does not best protect the pamphlet from the damage of book-drops and everyday usage. The bindery has suggested an alternate method, and samples of this new method were distributed and evaluated by LBC members present. This new style of pamphlet binding will be very similar to books, though without a spine insert. Instead of Buckram covering material, C-cloth will be used. Pamphlets that were stapled in the past will be side-sewn, which is a more sturdy leaf attachment method. The new binding method is equivalent in cost to the previous method and is much sturdier.  The LBC approved the new style of pamphlets, and the University of Florida Libraries' materials sent to Southeast Library Bindery after June 20, 2001 will be bound in this style.  Victoria will check on whether UF can choose different colors (to match periodicals, for example) or if one color of C-Cloth will be used for pamphlets.  [Note, after LBC meeting, Victoria contacted Scott at Southeast Library Bindery.  Due to the fact pamphlets are an economy product, C-cloth color cannot be specified by UF.  Instead, all pamphlets bound in the new style will be bound in navy blue C-cloth.]

News from Preservation
Kendra had a healthy baby girl. Kendra will be on maternity leave through August, but is expected to return early September. In the meantime, Rachel Jervis will be working in the Preservation Department, and her responsibilities will be periodicals binding for Library West, the Mead Library and also the Journalism Reading Room.

Victoria’s last day will be June, 29 2001, as she is moving to Texas to pursue her Masters of Library Science with a focus in preservation administration. Until her position is filled, Cathy Mook will be acting as Head of the Binding Department in addition to Chair of the Preservation Department
