Library Binding Committee Meeting Minutes

Statistics
Victoria sent around a copy of the statistics for this quarter.  The same stats were sent in an email on November 2nd.  The overall totals are in the wrong columns, but all of the numbers within the table are correct.  John at AFA suggested that statistics be added to the binding webpage.  Victoria will work on adding them.

Special Projects
There is more student binding money for special projects, retro binding, etc.  Let Victoria know if your location needs any special binding projects.  Right now Victoria and a student is helping John at AFA with retrospective binding.  Carol at Education suggested that a student could look through the monographs at that location for binding needs.

Charging and Discharging Materials
There was discussion of how each location charges materials to the bindery.  Most locations have patron IDs that give a date for when the material is expected back from the bindery.  Most locations also use a separate ID for items in process for binding.  All locations should create binding IDs that give an approximate due date and whom to contact.  For example, an in-process ID could say "In process for binding.  Ask at Music circulation desk" or "Ask for Michele at Music".  Once the item is actually boxed to go to binding, the item them gets charged onto a binding patron ID.  The binding patron ID should say the expected due date (so those of use using old Heckman messages, change the due date!).  The goal is to let the patron know when something is expected and the contact person or location.  After items are returned from the bindery, the binding patron ID should be checked for outstanding items.  If an item is not returned by the second shipment date, notify Victoria.  The sooner she has Southeast check into the problem, the easier it is to trace the item.

Corrections
Southeast gives us a one year guarantee on corrections.  Included would be incorrect stamping (their fault) or pages falling out within a year of binding.  Southeast goes by the sticker in the back of the item for the year verification.  Copies of binding slips will only be accepted by Southeast if it is the copy that came back from the bindery, with the SELB sticker on it.  For our own information, we can get copies of old binding slips two ways.  For before the switch to the smathersnt9 server, the slips have to be requested through Victoria.  After the switch the smathersnt9, slips can be printed after using the "Search Across Jobs" function from the JOBS database of LARS to locate the desired item.

Leaf Attachment
Check to make sure the correct leaf attachment method is indicated.  Even if something was STF last month, this month's group may be DFA.  Check the issues and the leaf attachment box in LARS.  For large, single signature issues, STF is actually stronger than DFA.

MSL Jewel Cases
This project is in effect at MSL.  Cathy Mook and Pam Cenzer are preparing a report for the near future.  MSL seems to like the cases, and the product seems to be good.  Even an apparant vandalism attempt did not break the Kwik Case™.

ABLE
Our ABLE demonstration is set for December 6, 2000 in the Smathers Library Conference Room.  We will meet from 1:30-3:30pm to see Steven Wells demonstrate the system and answer any questions.  You can review these ABLE sites before the demonstration, if you're interested. FYI
Dee announced Library West's 900s will be moved to the Paged Collection, and PS-Z will be shifted onto the 6th floor of Library West.

Our next meeting will be the ABLE demonstration on December 6th from 1:30pm to 3:30pm in the Smathers Library Conference Room.
