
Library Binding Committee Meeting Minutes

three handouts:
-Official binding statistics for first two quarters of 1999-2000.
The stats for corrections include all corrections: periodicals, serials,
monographs, pamphlets, as well as no-charge and charge
-History
function in LARS. Binding
history was not recorded in LARS prior to the contract with Southeast, because
Heckman Bindery had turned it off.
This function may now be used to check binding frequency and pattern, as well as
exact shipment periodicals or serials are/were sent out to the bindery. The
history function doesn’t update until the job is closed and sent.
-In-Depth Binding Manual sample. The
periodicals section is complete and other sections are being added.
The quick reference manual that Cathy made will still be available.
Please look at the In-Depth manual and make comments or suggestions.
Items that are less than about 20 pages sometimes can’t be STF because the paper is not thick enough to accomodate the thread used to sew through the fold. When items that are not thick enough are sewn through the fold, the thread will cut through the paper, leaving large gouges or even tearing complete holes. Thickness of the paper, as well as number of leaves in a signature determines whether an item can be machine sewn through the fold. If in doubt, send the item to Preservation or Southeast. Volumes that are too thin to be sewn through the fold will be returned unbound with another leaf attachment method suggested.
Carol had a question about corrections. If a journal comes back collated incorrectly, who pays for the correction? Part of the collation/check-in procedure at Southeast is to check for correct collation of volumes, so any volumes returned collated incorrectly will be returned to the bindery as a No-Charge correction (entered into a job ending in NC).
We
talked about Z39.50, the standard that allows a library management system (such
as NOTIS, which we are currently using) to be searchable for monographs.
The title, author, and call number info would be pulled in from NOTIS and
dropped into LARS. You could then
make changes to the info that appears in the LARS boxes.
Judaica and LAC could use this function, along with the "keep"
function in LARS to automatically add the “+” and “**” for their call
numbers. FCLA recently installed a
Z39.50 v.3 server and it is functioning properly. Victoria Naipavel and
Cathy Mook (Head, Preservation Dept.) are working with Barb Voyer from ICI to
set up software called Z-Link to use the Z39.50 server in conjunction with
LARS. This would reduce the amount of typing and re-keying required for
monographs.
Resource
Services wanted to know about our spine labeling conventions.
We have all been doing abbreviations for the 1900's (1998-99).
For this year, most of us have been using full four-digit dates
(1999-2000). Kendra has been using 1999-00 as an abbreviation for
1999-2000. The rest of us will
return to abbreviations for next year (2000-01).
No standardization was decided upon.
How
to handle minor
corrections was also discussed. Minor
stamping mistakes could be fixed with a heat pen, especially if the
mistake was caused by binding staff, and a return to the bindery would result in
a charge. Volumes missing less than 5
pages can be repaired by Conservation staff, by tipping in. Items
requiring more than 5 pages to be inserted should be sent to the bindery,
DFA. Recase is only to be used as a leaf attachment method for items that
have intact text blocks, and simply need new cases.
SE
stickers: Judaica has concerns about the placement of the SE sticker.
Unlike the Heckman brand sticker, the SE sticker actually identifies the
item and is placed on the item before binding.
Since no one else has seen problems, Victoria will mention to SE to use
care in placing stickers so that they don’t cover text or graphics.
The
bindery area had lots of snow recently, so items from the January shipment may
have been held over for the next shipment.
Steve
Wells, our representative, is scheduled to make a short visit on January 20.
Not enough time to visit the branches.
Next
meeting will be March 1 at 10:00 (note time change because of payroll deadline).
