Bobby Parker and Doug Kiker presiding

Attendance: Robert Parker, Doug Kiker, Michele Wilbanks-Fox, Jay Wiese, Jody Hewitt, Kendra Carter, Naomi Young, Travis Schaben, Angela Stewart, Christine Cogar, Carol Whitmer, Christy Shorey, Paula Tarrant, Margeaux Johnson, Raimonda Margjoni, Ann Baird, Jami Beserock, Pamela Cunningham Williams, Justino Llanque Chana

Introductions:  Christy Shorey is a new A-Team member who works in both Preservation and in the Acquisitions Serials unit.

Naomi:

Re-class:  Re-class of periodicals from Dewey call numbers to LC is mostly finished.  There are still some titles that may have slipped through without being fully re-classed.  If you see anything with a Library West location and a Dewey call number, email Naomi with the Aleph number and the title.  If the material you have found needing to be re-classed is an annual, you should

contact Lawan.

Projects Fluffy and Squishy:

Fluffy: The purpose of this project is to create separate holdings locations for items with both storage material and west material.  Through this project separate holdings will be create to distinguish where this material is.

Squishy: This project is to combine holdings information where to storage locations are given.  Some material show both LAD and ALF storage material.  Through this project these storage locations will be combined to make holdings information clearer and more accurate.

During this process people may find some holdings are suppressed.

Doug:

Cancellations: This is the season for cancellations.  The big list of titles to be cancelled due to lack of funding will not be carried out.  However, some selectors may still want to use this opportunity to cancel some of these titles.

When a title is canceled there are various things that need to be changed to that record.

I.E.     The end date needs to be changed in the subscription. The predictive pattern needs to be stopped and future items, not yet arrived, need to be deleted.  T he holdings need to have an x note stating that the title has been canceled.

Blackwell:  Blackwell will be converted from print to online only.  Most if these titles will be health sciences, but there will also be some in our branches.  At our next meeting we might have a list of titles that are now online only.

Bobby:

Security Duplicates: Preservation will be canceling some of there duplicate copies of periodicals.  These were received to ensure a good copy was preserved for binding in case the shelf copy was damaged.  Fourteen titles are picked for cancellation.

Margo:

866 field conversions: The Science Library is working on 866 conversions.  Jason has tweaked the macro used by Preservation Staff to convert West titles to work smoothly for Science.  They have over 8,000 titles to convert and with the macro they can more easily train students to help with this work.

Bobby:

Bobby will coordinate with Jason to create macros that will assist other branches in converting 866 fields.  These will probably take place once Science has completed their conversions, and probably be conducted one branch at a time.

Accurate and Complete Holdings:  It is important that are holdings become more accurate and complete.  Be on the look out for holdings that have inaccurate start and end dates. (i.e. "1966 to current year")  There needs to be real dates.  Also watch for holding records that state "current year only" but have bound volumes.  We need to accurately depict what we have in our collection.

Next A-Team meeting will be Oct. 19th
