Matt Daley, guest—reported to the committee on the new IPS Status Request form.  To view the new IPS request form go to http://web.uflib.ufl.edu/ps/Circ/CircMan/forms.html .  You can fill it out online and submit.  Bobby Parker commented that it is also available directly on the Binding webpage, http://web.uflib.ufl.edu/preserve/binding/index.html .  This form is to be used if a new IPS status is needed or if an old one needs to be modified.  Please provide a clear reason of the need for the change for the Item Process Status Group to review.

 

 You can submit requests for your department only, but it may not be approved by the committees.  For example, a request was submitted for 5 new IPS codes to determine location of books that were in processing was pared down to one code of HP- Ask at desk, Maintenance shelves.  Emily Madden wanted a more detailed coding available to enable her to determine which specific shelf within the processing area.

 

The goal of the review committee is to keep the OPAC as simple as possible, but still give enough information to staff members to easily locate the item in the technical processing area.   Margeaux Johnson suggests using Tab 2 in the item record to put the needed information in the internal note field for staff or the web OPAC field for the public to view the specific info. 

Emily Madden indicated that she would prefer not to put in such notes, but to have a code that she could easily translate without having to look at the item record.

 

This is more than a public use issue, but something that is needed for staff technical side use.  Matt said that the group is holding requests for now until the move into Library West is done.  Naomi strongly suggests attending the meetings of the Item Process Status Group to discuss the issue.  All committee meetings are open to all staff, unless the meeting is concerned with personnel issues which must remain private.

 

Naomi Young reported on 2 topics. First an update on the project for Library West periodicals to complete a new call number list of current periodicals.  The list has needed a lot of editing of the records in the system.  Jami Beserock is working on this aspect.  The project also involves a major re-class of all the current periodicals in the hallway at Library East.  The progress is slow but needs completed in time for the move of the current periodicals into Library West.  Jody Hewitt from Gov. Documents wants to know when she should stop sending new periodical issues from Documents to allow time for the move.  All areas will need to stop sending new materials at some point.  

 

Next topic by Naomi,-Endeca—this program is used at other universities for a display on public OPAC to cover Aleph and to create an index that will act as a union catalog function.   This is to make the interface easier to use for the public.  There is some interest at the state universities in evaluating Endeca for use in our web OPACs. 

 

Bobby Parker reports that ALF has requested that preservation not send ANY items to ALF.  The items owned by Library West returned from the next 5 shipments of binding materials will be held in Preservation and will not be accessible to the public until after July 31.   This could affect approximately 2000 items.  All binding shipments will still be going out and all non-West items will be sent to their owning locations as usual.  

The moving of staff to Library West will start next week.   The book move will start about June 3-5.   The Library West doors are expected to be open for service to the public around June 5. 

 

Doug Kiker –There is a big list of serials cancellations on tap for the next fiscal year.  The list will be firmed up in the next week or two.  The list will cover mostly print editions and some electronic versions.  The list is not complete as yet.  

Jay Wiese, the new archivist in Serials Acquisitions was introduced.  

 

Binding update

The 866 conversion program is going well and making good progress on the item sorting macros.

 

Emily Madden had a question on why some call numbers do not display properly when looking up an item that is owned by more than one location and only one of the items shows a call number.   Naomi suggests that the 852 in the holdings record is incorrect.  Emily did not have a specific example.  She will provide an example at a later date.

 

The restructuring of the A-team meetings should wait until the move to Library West is completed.  Also, FCLA will be starting the upgrade process to Aleph version 18 after the move.
