Attendee list was misplaced.
1. Review Minutes from October 21st, 2004 meeting
· There were minor corrections made to the October minutes.
· Minutes were then approved.
2. Outline of LAD and ALF situation (Ben Walker)
Ben Walker came and gave a talk on the situation at LAD and ALF. He brought
and distributed two hand-outs. One is an MS Word doc
that is a list of what kinds of materials (books, periodicals, film, fiche,
etc.) with a particular sublibrary and collection (UFSWE, Gen, UFSWE, PER,
etc.) is located where (LAD, ALF, paged). The second document was an Excel
spreadsheet contains some of the same kinds of information broken out into
a chart.
3. Serials cataloging training (Naomi Young)
Naomi is planning a series of advanced cataloging training session for February.
4. Frequency of meetings in 2005? (Cathy Mook)
This issue will need to be looked at further in 2005. Two meetings were
not held (December of 2004 and January of 2005) without obvious negative
repercussions. Thus, the question remains: Do we need to meet every month?
5. Update on Binding RFP (Robert Parker)
The binding RFP was sent on November 16th to University Purchasing in final
draft form. They will make any necessary changes and hopefully get it posted
early in 2005.
6. Other announcements and questions:
· Margo Johnson has been hired at MSL to fill the position formerly
held by Marcia Alden.
· Daniel Holt resigned from Serials Acquisitions. He will be going
to work at the VA.
· A question raised by Jody Hewitt at a previous A Team meeting was
answered. The question was ‘Should an item process status of TR (in
transit) be set on loose periodicals (UFSWE, PER) for the period of time
they are between Serials Acquisitions and getting shelved. There was some
thought that the amount of time that it looked like the issue was on the
shelf when it was really not was too long and was confusing for patrons.
Gary Cornwell was contacted and asked that an IPS not be set and that he
would attempt to have the issues shelved faster.
· Jean Bostwick at LIC asked if other people had noticed their HOL
records disappearing. As most A Team people are not converting holdings
right now, no one else had noticed. However, it turns out that this was
a major issue and FCLA was contacted in December. It turns out that there
were too many CAT fields and that once those extra CAT fields were deleted,
the problem was solved.
· Jean Bostwick also asked “Does a space in the LKR ruin the
Link between the Holdings and the serial itself?” Naomi answered that
yes, do not add any spaces there. Most A-Team people are not editing the
LKR so they should be fine.
· John Seay from AFA asked if the 008 field is required in the HOL?
Yes, it is. Please fill it out to the best of your ability using the data
provided to you in the Aleph training manuals you received. There is a also
a holdings cheat sheet that you can print out and post near your desk if
you need it.
· Carol Whitmer asked about action dates for claiming and what is
going on with those. The answer is that claiming in Aleph is not as easy
as it was in NOTIS, so far. There is a hope that eventually there will be
a report generated (sort of like ARROW) that can be used to assist with
claiming.
· The status of permissions for Aleph is still up in the air. If
you are not able to perform a function that you need to perform in Aleph,
please let Cathy or Doug know ASAP.
· Carol Whitmer asked about add’s that had been directed to
her that had not yet been arrived into Aleph. Doug said that was a mistake
and that she should return them to him for processing.
Next meeting is February 17th, 2005. (December and January cancelled.)
