AGENDA:
1. Assign minute taker: Emily Madden volunteered to take minutes.
2. Review and approve April 28th Minutes

a. Serials Solutions records have not yet been pulled into the OPAC.
b. The Bulletin Board discussed at the April meeting was hacked. It is still
dead.
c. Minutes of the previous meeting approved
3. New YBP procedures – Though this is a group dedicated to periodicals, some staff members present also have responsibilities in the monograph area. Therefore, a guest was brought in to discuss an upcoming procedure in the monograph processing area. Doug Smith from Cataloging and Metadata reviewed new YBP processing procedures for monographs. Use of PromptCat is generating better OCLC copy and less CIP (Cataloging in Publication) records. Due to batch loading records, several routine errors have been noted. Doug distributed a handout which lists common errors and how to address them for correction, and has subsequently issued a beefier email version of the handout for staff.
4. ALEPH Claim Report Client demo -- Jason Fleming demonstrated how to install and use the ALEPH Claim Report client. The instructions may be found on the Serials Unit homepage at: http://www.uflib.ufl.edu/acqlic/serials/Aleph/claiming/claiming-report.htm
5. “LATEST IN” policy -- Naomi Young reviewed the new policy for Serials in Temporary Locations where the latest issue is shelved in a location that is different from the title’s primary shelf location. 6. NASIG & ALA Update -- Doug Kiker / Naomi Young reported on their
visits to the North American Serials Interest Group’s seminars at
2005 Summer ALA Conference. Doug discussed new developments by software
vendors to integrate and track acquisitions data, such as electronic media
licenses, serial order renewal dates and strategies to merge all e-resources
for libraries.
Naomi attended a demonstration of the use of dynamic bookmarks in catalog
practice.
7. Multiple Holdings in OPAC Index lists --Cathy Mook led a discussion
of multiple holdings locations in index lists’ issues and the confusions
they present for both staff and patrons. There is still not a really clear
sense what causes this issue, though at times different item statuses seem
to be the culprit and other times different material types (using issue
and issbd) are the problem.
An Aleph service pack may fix the problem but for now we will have to live
with it. It is hoped and assumed that future versions of Aleph will not
have this ‘bug’.
8. Happy 1st Birthday to ALEPH @ UF! -- Cathy Mook asked A-Team members to assess the success of this past year’s ALEPH implementation and solicited staff to identify any areas they would like to see addressed or fixed in the near future. Several issues were named, such as more barcode scan access points in all modules, more IPS codes for “in-house” use by the branches and processing units, and better serial item sorting. Cathy wanted to be able to report to the next ALEPH Implementation Committee meeting as to what staff would like to see improved, changed or eliminated in both the OPAC and tech modules of ALEPH. Cathy notes however that asking for and getting upgrades and/or improvements to the Aleph system are fairly difficult as they have to be requested through FCLA, who then requests them through Aleph, which a very long list of items that need to be upgraded.
9. Other agenda items :
a. Doug Kiker announced that there is a new 1.0 FTE time-limited position
opening posted which will be shared between Serials Acquisitions and Preservation
Binding. The position no. in the myUFL job board list is 033209. Please
inform interested parties to apply ASAP!
b. There was a brief discussion of check-in problems related to multiple
location ownership of the same title. Group members who were interested
in this topic agreed to meet to develop a solution to the problem.
10. Next meeting is set for 18 August 2005. (We are going every other month for now.)
