Cathy Martyniak announced she is leaving the group.  Doug Kiker and Bobby Parker will co-chair the committee.  Bobby will be heading the binding group and Doug will still be heading the serials group.

Cathy may come as a guest when needed.  Jason Fleming is also leaving the group and will only be here as a guest when needed. 

 

The minutes for the last meeting, 02/02/2006, were reviewed and approved.  The minutes were distributed as a handout.  The approved minutes are to go up online.

Continuations Report Procedure;

Jason is still working on this and it will be posted later.

Especially important with the cancellation project that is coming up due to budget shortfalls.  The decisions need to be made before August 2006 for the 2007 subscriptions. More publishers are to be added to the electronic only list, we will cancel the print later.

 

Report by Naomi Young:  concerning the split holdings problem where part of a serials title holding is in storage and part of the holdings are on the owning locations shelves.  Naomi suggests that we will need to be ready when Access Services turns off request link for West periodicals.  Access services says it will not be needed when the volumes come back Library West from Storage.   Naomi wants a separate HOL to be created for the items in storage so that the items still in Storage will appear separately in the OPAC , as these items may need to be requested using the form instead of the request link.   Items with a sublibrary of UFSTO and a collection of GEN or one of the special codes will be affected.  Naomi will post the documentation of how to do this later.   We need to not use the temp location field to accomplish this task.  Make a HOL for the storage items and then move the items from the primary HOL to that new holdings screen.  The request link will be available for UFSTO items only.

 

Michele Fox about Fake 'B's:

This procedure is to be used to make items sort correctly when they are not sorting.  This involves the item record tab 4, B field.  Sometimes the J field is insufficient to the task of sorting completely, so add numbers to the B field even though the item in question doesn't really have numbered issues.  This procedure is only needed if the J field does not fix the sorting correctly.   This situation usually occurs where the year is divided in many parts.   If the volume in hand no longer shows the year, you would still put a year in the I field for sorting purposes but leave the year out of the description field where it is no longer true.  All if this may change when Aleph version 18 comes out.  Margeaux says that the macro used for sorting does not allow for checking the OPAC so you must check the OPAC screen separately to confirm correct sorting order.  Sometimes running the Sort Macro makes the sorting order come undone. 

 

General topic:

The direction of the A-team committee in the next year was discussed.
