Mandatory Meetings

Every semester there is a MANDATORY MEETING scheduled at a time when all student assistants can be present.

At this meeting all staff members will be introduced/reintroduced to one another. This is a prime time to learn all of the faces of the people you work with.

Topics will include:

  1. New projects going on in the department
  2. Any new library information that employees will be held responsible for
  3. Any changes in payroll procedures (or refreshers)
  4. Any opportunities for training that are coming up
  5. Refresher on any commonly forgotten library policies

 

Mandatory Meeting Spring 2008

 

General Rules

  • You are responsible for all information covered at this meeting.
  • Christine’s primary means of contacting you will be through email and in person, so make sure you check your email regularly.
  • Schedules- don’t block out times that you are available, mark the hours you intend to work. If you want to work 10 hours, then schedule work for 10 class blocks, not 15.
    • You may not work over 20 hours according to your work permit
    • Work week runs Friday- Thursday
    • Your schedules are generally flexible, excluding the shifting schedule, but I need a rough idea of when and how many hours you plan to be here
  • Working during class- YOU MAY NOT! The only way this is excusable is with a note from your professor- you may not schedule yourself to work during a class time unless you already have a signed note.
    • Note forms are located on bulletin board, outside my office, and online
  • Try not to hang out with people behind the circulation desk for too long.
    • They are supposed to be working too!
  • Only use the computer behind circ to clock in and out, not surf the web.
  • Your stuff
    • You may bring a music device up with you
    • You may not bring your backpack with you
    • Leave it on the backpack cart at circ or in L215/Christine’s office
  • Don’t forget to write down what you did during your shift in the Daily activities log located at the back of the sign in binder.
  • If you work 4 or more hours at once, you are entitled a 15 minute break.
    • Sign out on the break sheet when you take it and have a supervisor initial it. This is so that if people see you doing something other than working they can look in the break log and see that you are on break.
  • Clocking in and out
    • Round to the .25, .5, .75, 00, this makes it easier when we are processing payroll
    • When you round, if you worked 8 minutes, 23 min, 38 min, 53 min, then it rounds up to the closest 15 minutes, otherwise, round down.  If you have questions about this, please let me know.
    • You are supposed to enter your times in the computer EVERY DAY! Enter them while you are at work each day. You may not be paid on time if you do not do this.

Stacks

  • Blocking / tidying / shelf reading you section
    • Books should not be laying on the shelves after a bookend
    • All shelves, if there is space, should have a bookend
    • You are responsible for keeping your section looking nice, not just shelving it
    • I should be able to walk through your section any day and see what I expect to see
    • If you want to help others with their sections when you are done with yours please help them block and shelf read rather than shelving all their books, only shelve when their section starts to get backed up.
  • 3rd Floor: Carts should be put along the atrium (the big opening in the middle of the floor that looks down onto the reference desk). They should not be kept by the reshelving area for loose issues because it is a fire hazard.
    • Carts cannot block the fire extinguisher or the door
  • Statistics
    • You need to write down a number for statistics every shift you work, even if it is zero.
  • What you are SUPPOSED to do
    • Sign in
    • TAKE UP CARTS- YES THAT”S PLURAL
    • TAKE UP CARTS TO OTHER FLOORS
    • SWEEP YOUR FLOOR
    • Shelve your section
    • Block your section
    • Shelf read your section
    • When you are done shelving your section what are you supposed to do?
      • Leave for the day?
      • Do one of the tasks below

Projects

If you are running out of this to do and you are already doing everything I just went over then…

  • Shifting
    • A shifting team has been created
    • Michael- Shift Supervisor, Yuwen, Bowie, Tim
    • It is the primary responsibility of these folks to shift and they have smaller sections than most others because of this
    • If you run out of things to do, help shift, we need all the help we can get, there is A LOT to do.
    • We will be shifting the 4th Floor, QA-QB on 5th floor, and probably little bits of 3rd.
  • JUSE- Journal Use Project
    • Recording
      • This is where you are writing down the periodical titles you sweep on 1st and 3rd floors.
      • Write down titles when you place the book in the reshelving area, not on the leveling shelf
      • Write down titles from all 1st and 3rd floor carts, books found in copy areas, on tables, brought up from other floors
      • Do not write down titles from Bindery Shipments
      • CHANGE IN JUSE RECORDING
        • We will be using Google documents to record statistics
        • Sheets will still be out to be used when a computer is not available or not easily accessible
        • This will cut out a step in the statistics process
        • Email to come soon regarding Google logon and instructions.
    • Next steps
      • Type titles not recorded in Google into Excel
      • Look up call numbers
      • Look up whether it is available electronically or not
      • I need people to work on this project, this can be done anytime using the computers provided in L215.
  • Carpet
    • The carpet on the 5th floor will be replaced over spring break.
    • We will probably need people to retrieve books from that floor as it will be closed to the public. If you plan on working during spring break, let me know.
  • 3rd floor loose issue boxes and book ends
    • We have some new metal boxes that can replace those which are in bad condition. The new boxes are located in L215 if you need them.
    • We also have more book ends that are available if needed. These are also located in L215.
  • Wetlands
    • Gina will be finishing the Wetlands project
    • These books, like the coastal archives books from last summer, will be integrated into the collection, so let me know if there are space concerns in your section.
