JUSE- Journal Use Project

CURRENT PROGRESS

This is the most recent usage file we have. 

  1. Usage Stats All 2010-2011 - It covers all items used within Marston Science Library from 2010-2011 along with all periodicals that were checked out.

Below are the files covering only January - December 2010.

  1. In House Usage 2010 - This file includes all items used in house that were not checked out.
  2. JUSE 2010 - This file includes journals that were checked out and returned.  The dates listed are the return dates. 

Below are 4 files with all of our older statistics through December 2009. This includes statistics from both the 1st and 3rd floors. The 3rd floor project goes back through Summer 2005. The 1st floor project goes back through April 2006. If you sort by call number, it may not be exact, but you will get a rough ordering.  I would recommend conducting two seaches, one by call number and and one by title if you do not find the call number for the most accurate findings.  It works better to search by call number for most titles, and by title for some that may have multiple call numbers associated with the title. I hope this helps with the storage decisions and if you are not finding what you are looking for, let me know.

  1. Journal Usage Through December 2009 - This contains all of the information that is included in the 3 files below (all print journal usage statistics collected through June 2008). This is the cleanest file and the call number sort will probably be your best bet. As usual though, you will get the most accurate information using three separate searches, a call number sort, a title sort, and using "find".
  2. Journal Usage Through June 2008- This contains all of the information that is included in the 2 files below (all print journal usage statistics collected through June 2008).
  3. Journal Usage Through April 2007 - If you sort by call number, it may not be exact, but you will get a rough ordering.  It works better to search by title for most titles, and by call number for some that may have title variations.
  4. Journal Usage Summer C 2007- June 2008- If you sort by call number, it may not be exact, but you will get a rough ordering.  It works better to search by title for most titles, and by call number for some that may have title variations.
  • For the coded variables, 1=Yes, 2=No.
  • For any date listed as January 1st of a year- This means we do not know the exact date during that year that the title was used.

How to Enter Journal Use Data

  • There is a file located in Google Docs for items found that do not have barcodes.
  • Every Stack Management student will be given the username and password during their orientation. Specific information on what is recorded is listed below.
  • All items that have barcodes that are swept will have their barcodes scanned with the portable USB scanners located for check out in the student office. We will then use the barcode numbers to run reports for title and call number information.

1st and 3rd Floors

This project was designed to determine the amount of use of journals on the 1st floor (Journals 1989 and older) and 3rd floor (Journals 1990-Present).  This project will help us in future decisions of what journals might be able to be moved to storage. This was implemented do to issues with the compact shelving and the possibility of needing to replace this in the future. The other reason for this project is to help in future decisions of what journal titles to cancel or move to storage.  This project will allow for the current use to be taken into consideration when making these decisions.  We are collecting data in the following areas relating to each volume used:

(any coding used is also listed below with the category)

1. Date Collected

2. Loose Issue or Bound Volume (1-for Loose issue, Blank for bound issues)

3. Journal Title

4. Call Number

5. Year

The next two are only included for titles up through April 2007

6. Whether that title is available electronically (Yes-1 / No-2)

7. Whether that year of that title is available electronically (Yes-1 / No-2)

2nd, 4th, and 5th Floors

Starting in January 2010, we have also begun collecting information on all titles used within the Science Library. We now use the USB scanners to scan the barcodes of all titles (not just journals) used within the library that are not formally checked out. Any titles without barcodes are typed into the Google Docs file mentioned above.

This allows us to collect information on what specific titles are being used within the library even if they are never checked out and can help with future purchasing decisions.

 

Data Collection

Data is collected whenever:

1. A floor is swept and books and journals are found and shelved or placed on a reshelving cart on the 2nd floor.

2. Books are cleared from a copy area and shelved, or put on a reshelving cart on the 2nd floor.

3. When books are found out of place in the stacks and are put away or on a reshelving cart on the 2nd floor.

For each item record:

  1. Date Collected
  2. Title
  3. Call Number
  4. Year
  5. Volume (if it has one)
  6. If it is a book rather than a journal (mark "x")

All titles swept should be either scanned with the portable USB scanner or recorded in the Google Spreadsheet.

JUSE Spreadsheet

One project that Stack Management students are also responsible for is looking up the call numbers or titles for entries on the JUSE spreadsheet if they are not already included. You will need to use the library catalog in order to look up the title or call number information.

Always cut and paste this information into the spreadsheet. Do not type it in because the possibility of errors is much higher.

If you are looking up a call number, please also make sure that the title in the catalog matches the title in the spreadsheet. There are times when the word order is different, there is a spelling error, or part of the title is missing. All of these things need to be fixed in the spreadsheet.  The best way to do this is to cut and paste the title from the catalog, but make sure you do not cut and paste the title as a link.  Once you click on a title in the catalog, a screen will come up that has the title listed which is not a link.

Try to keep these databases as updated as possible because we are sporadically asked for this information for different projects going on within the library.

If you cannot find a title, highlight the title in the database in Yellow. This will indicate to me that I need to look at this item. Once I have looked at it I will either change it back to White if I figure it out or change it to Blue if it is still not clear as to what the answer is.
