Barcoding Project

The barcoding project is in progress for the 1st Floor Periodicals. The goal is to barcode all bound periodicals and indexes on the floor that might be sent to storage. The reason for this project is that when periodicals without barcodes are brought to circulation to be checked out, an item record is created to that item that is often not linked to the original record. These item records then make it more difficult to search for that title later because there will be extra listings of that title to sort through.

Supplies

1. One cart of journals from the 1st floor. (Only do one cart at a time in case you don't finish that day it will disrupt the least amount of materials.)

2. Barcodes- these are available in L215 by the student computer. If you run out ask a supervisor at circ and they should be able to provide you with more. Make a note if we are running out at circ too and the Stack Management Supervisor can request more to be ordered.

Directions

Working on this project consists of the following steps:

1. Identify books needing barcodes. This is done by checking with the Collection Services Office to learn where to start.

2. You can either work on this project by bringing a library laptop downstairs with you or once you have a full cart you can bring it up to the office. This begins the part of the project that you will complete on the computer.

  • You will be working in the Cataloging module of ALEPH. If you cannot remember or have not received a user name and password for this, you need to see the Stack Management Supervisor before you begin. This usually takes at least 24 hours to set up.
  • You will need to find each title in the online catalog first. I have provided a guide to searching to aid you in this process. You need to follow these guidelines to ensure your accuracy in modifying these item records.
  • The next step is to use the System (SYS) number found in the catalog to bring up the appropriate record in ALEPH.
  • The following is a guide to updating and duplicating item records for this project. Also included below is a cheat sheet for proper formatting of item records, including where to place spaces and punctuation. Please make sure all entries are consistent with this formatting.

 

  • Once all periodicals have barcodes, return all items to the shelves.  DO NOT PLACE THEM IN THE RESHELVING AREA. These items will fill sections of the reshelving area and it takes less time to simply return them to the shelves.
