Policies Related to the UF Institutional Repository

 
 

 

Content Policy

1. This is an institutional repository. The content of the repository will include digital resources in all formats that are created by units and/or individuals associated with the university and that have educational/research value or that document the workings of the University of Florida.
2. Authored texts may be unpublished, or pre-prints, post-prints, or published versions depending on the copyright restrictions of the publisher. See Journal Copyright guidelines.
3. Principal languages for submission: initially, all Western European languages.
4. Search interface will be English; French and Spanish interfaces are underdevelopment.


 

Access and Use of Metadata

1. Anyone may access the metadata free of charge.
2. The metadata may be re-used in any medium without prior permission for not-for-profit purposes provided the OAI Identifier or a link to the original metadata record is given.
3. The metadata must not be re-used in any medium for commercial purposes without formal permission.



 

Access and Use of Digital Items

1. Anyone may access items free of charge.
2. In general, copies of items can be reproduced, displayed, performed, given to third parties in the original format for personal research or study, educational, or not-for-profit purposes without prior permission or charge provided: a) the content is not changed in any way, b) the authors, title and full bibliographic details are given, and c) a hyperlink and/or URL are given for the original metadata page.
3. Items must not be harvested by robots except transiently for full-text indexing or citation analysis.
4. Items must not be sold commercially in any format or medium without formal permission of the copyright holders.
5. This repository is not the publisher; it is merely the online archive.
6. Mention of University of Florida Institutional Repository is appreciated but not mandatory.

 

 

Submission Policy concerning depositors, quality & copyright

1. Items may be deposited by accredited members and academic staff of the institution, or their delegated agents.
2. Authors may only submit their own work for archiving, and authors retain full copyright of their submissions.
3. The administrator vets items for the eligibility of authors/depositors, format, and the exclusion of spam.
5. Items should be submitted after embargo periods have expired.
6. Authors/depositors are responsible for assuring submittal does not abrogate any applicable copyright restrictions.
7. If University of Florida Institutional Repository receives proof of copyright violation, the relevant item will be removed.

 

 

Preservation Policy

1. Items will be retained indefinitely.
2. The University of Florida Institutional Repository will try to ensure continued usability and accessibility and will migrate items to new formats as necessary.
3. The University of Florida Institutional Repository backs up its files according to current best practice.
4. Items accepted into the Repository will be digitally archived at the Florida Digital Archive, a facility operated by the Florida Center for Library Automation.
6. Acceptable reasons for withdrawal include: proven copyright violation or plagiarism, legal requirements and proven violations, National Security, or falsified research.
7. Request for withdrawals must be submitted in a text-based format by the copyright holder.

8. Withdrawn items are not deleted per se, but are removed from public view.
9. Withdrawn items' identifiers/URLs are retained indefinitely and will continue to point to 'tombstone' citations to avoid broken links and to retain item provenance.
10. Updated versions may be deposited.
11. In the event of University of Florida Institutional Repository closes, the database may be transferred to another appropriate archive.
