Grants Management Committee Minutes

Monday January 30, 2006

10:00AM-11: 00AM

  • Present: Cathy Mook, Kelley Cunningham, Grace Strawn, Robert Shaddy, Peter McKay, Tatiana Barr
  • Announcements: Minutes from our December meeting were approved.
  • Committee affiliated Web Pages:
    • Cathy showed us the new links to the main Committee page and the Public Web Page (named Information Resources by its author, Peter McKay).
    • Cathy will ask Martha or John if we can place a link to the Information Resources page in the Library Link Column on the Staff Web Page. A link will also be placed in the to-be-updated Policy and Procedure manual.
    • Kelley will draft a page (to be named Grant Sources) that will list any/all agencies that supply grant funding to Libraries, as well as local grant information such as DSR and Contracts and Grants. Robert suggested that this list is already created somewhere, possibly DSR. There will be a link to Grant Sources from the Main Committee page and the Information Resources page.
    • Regarding the procedure to initiate changes to the content of the various GMC web page(s). If it is a small change (such as add a new funding agency or make some changes to draft Minutes), then the person requesting the change should contact either Cathy or Peter. If it is a substantial change, the requestor should bring it up at one of the GMC meetings for a wider discussion.
    • Cathy previewed the page that Peter has been working on that takes the information content from the current Committee page and places it inside the same template used by the Information Resources page. All approved. Peter and Cathy will work on moving the content over in the next few weeks. The URL will not change again, HOPEFULLY!!
  • After Library Council Approval of Procedure and Brochure :
    • We will devise a schedule for the publicity of the Grants Process to Units within the Library. Kelley, introduced by a Librarian from the Grant Management Committee, will speak briefly to staff within the Units.
    • Kelley and Robert with meet with the Librarians in Special Collections and Area Studies.
    • She and Peter will meet with CM.
    • Jan Swanbeck and Kelley will talk with either PSC or PSSC.
    • Tatiana will schedule a time for Cat/Met & Acq/Lic to meet with Kelley as well.
    • We will work on a script for Kelley to use, as well as a Power Point Presentation.
    • We would like to have time on the agenda at a town meeting later in the Spring (with Kelley being introduced by Cathy)
    • Finally, we would like to be included in all new employee orientation sessions.
  • Brochure: We carefully reviewed v.4r of the brochure. Robert will develop a few sentences for the “Who Can Apply” section and send to members in an email. Once approved by GMC, that new language will replace what is currently there. All URLS's will be updated on the brochure as well.
  • Components of a Successful Grant Program: One of the bullets in the Committee charge is 'Define the components of a successful grant program'. What does this mean? There is definitely an evaluative element to this statement. It could mean "How well is the Committee doing its job?" (such as Educating and training Librarians and staff to apply for grants, giving publicty sessions to Departments, meeting with new employees at new employee orientations session, etc.) but it could also mean "How well is the Library doing with its grants?" (such as the % of grants applied for that are actually awarded, how many grant reports are written and submitted on time, are grants completed on time, etc.). Cathy argued that it was a bit of both. Since we are so early in the process, it might be a bit too early to evaluate anything but we should keep this in mind.
  • Mini-Grants : The Mini-Grant Program will be on hold until after 2005-2006, since many fiscal resoruces are being directed towards the move back into LW, etc.
  • Next Meeting : Upon receiving feedback from John and Martha, we will decide if we need to meet on Feb.20th, prior to the February Library Council meeting on Feb. 23rd.
