Harrassowitz Selecting Procedures

All Harrassowitz slips are searched in the usual manner to prevent duplication of materials.

1. Go to www.harrassowitz.de

2. Under the "OttoEditions" heading, enter the CM Support Unit username and password.

3. Click the "Login" button.

 

To select a single item in Harrassowitz:

1. Under "Search & Order," choose ISBN in the drop down box.

2. In the box, type in the ISBN for the item you wish to select. (Steps 1 and 2 can also be done using the HARR ID number found on Harrassowitz slips.)

3. Click the "Quick Search" button.

4. On the next screen the information will be displayed for the item you have selected. If the item and information is correct, click the "Select" button next to the record.

5. On the next screen the item and information will be displayed again.

6. At the bottom of this screen, four fields must be filled in:

a. Customer code: Select "GAI-OE"

b. Fund Code: 01000001 - 2006 (EXAMPLE)

c. Selector: Type your initials: BG (EXAMPLE)

d. Location: Choose the correct location from the scroll down menu.

**If the fund code and location are not listed for the item you are ordering, the record must be created in ALEPH.

7. After filling in the four fields, click the "Select title" button in the middle of the page.

8. On the next page the record and information will be displayed again and a blue "Selected" will appear to the right of the record.

9. If finished selecting in Harrassowitz, click the "Exit OttoEditions" button at the top or bottom of the page.

**If you wish to select another item on a different fund or in a different location, go to the top of the page and enter the ISBN or HARR ID for the new item.

10. The new item record will be displayed.

IMPORTANT: The 4 fields at the bottom of the page must be changed according to the fund and location of the new item you are selecting. The previous information you entered here carries over to each new record until you change it. If the fund code and location are not changed, the new item will be selected using the previous fund code and location you used.

 

To tag multiple items on the same fund:

1. Follow steps 1-8 under "To select a single item in Harrassowitz."

2. After the first item has been selected, enter the ISBN or HARR ID for the second item you wish to select in the box at the top right of the screen.

3. Click the "Quick Search" button.

4. On the next screen the information will be displayed for the item you have selected. If the item and information is correct, click the "Select" button next to the record.

5. On the next screen the item and information will be displayed again.

6. Check that the four fields at the bottom of the screen are filled in and are correct.

7. Click the "Select title" button in the middle of the page.

8. Repeat steps 2-7 until you are finished selecting all items.

9. When you are finished selecting all items in Harrassowitz, click the "Exit OttoEditions" button at the top or bottom of the page.

**If you wish to select other items on a different fund or in a different location, go to the top of the page and enter the ISBN or HARR ID for the new item.

10. The new item record will be displayed.

IMPORTANT: The 4 fields at the bottom of the page must be changed according to the fund and location of the new item you are selecting. The previous information you entered here carries over to each new record until you change it. If the fund code and location are not changed, the new item will be selected using the previous fund code and location you used.

 

Checking Your Work:

1. Click the "Main Menu" button at the top of bottom of the page.

2. Click "Search and Order."

3. Near the bottom is the "Order Search" section.

4. Enter the current date in both the "date between" and "and" boxes.

5. Click the "Submit Search" button at the bottom of the page.

6. Everything you have selected on that day will be listed. You may print this page.

 

Checks:

Series or Standing Order It is possible to check to see if a title is in a series or set that is on standing order before submitting an order for the title.

1. From the Main Menu, do an ISBN search using the "Quick Search" mode.

2. If the item has a series, the option to "Check for standing order" will be available.

OttoEditions will tell you whether or not your library has a standing order with HARRASSOWITZ for the series or set. Please remember that this duplication check is not foolproof. It will tell you whether or not the series is on standing order, but does not look for individual volumes. If your standing order does not include the complete series, it is possible that you have not received the volume in question, especially with unnumbered series or series with volumes produced out of sequence.

 

Order History:

To find out if an item has been ordered, go to the Main Menu and do a Quick Search by ISBN. Then click the "Review order history" button next to the title. Invoiced Orders OttoEditions displays the invoice number (for items that have been invoiced and shipped) and credit number (for items that have been returned) in the search result.

 

Messages:

There are several messages that may appear in the OttoEditions search result display:

1) "Cannot order this through Harrassowitz" indicates that the item can no longer be ordered through Harrassowitz and must be entered in ALEPH.

2) "No series duplication check available" indicates that we are unable to perform a standing order check for a title. This may happen when we have loaded a title that is part of a series, but we have been unable to automatically match the series against our series title database.

3) "ATTENTION PLEASE: first volume of new set" shows that a new set is now available for purchase on standing order.
