DLC-CatMet Workflow
General Workflow
The general workflow will apply to steps for creating
digital objects in DLC. It concentrates on the involvement of cataloging in the
creation. Individual projects may vary for the steps. The workflow is not a
final version yet.
(Beginning from a print item)
When records exist in OCLC/Aleph
- It is the task of Nelda Schwartz to input relevant
information into the tracking database. The database will generate an ID
for the item so that other DLC groups can work on the item …
- A list of records, containing OCLC number/Aleph number and
short title, will be sent to the Cataloging & Metadata (CatMet) Department
- The list will be distributed to proper units inside the
CatMet. For example, it may be split to the Social Sciences Unit and the
Humanities Unit
- Records will be verified by catalogers to see if they are
AACR2 regulated, and to add TKRs
- After the verification, records will be saved back to OCLC
- Records can be loaded onto Aleph from OCLC
- At the same time to Step 6, DLC is notified upon the
completion with TKRs and Aleph numbers
- In DLC, an importer (computer software) is executed to
create batch file that contains electronic records
- The electronic records are to be sent to CatMet for saving
to OCLC
- Catalogers in CatMet may load the records onto Aleph from
OCLC later.
When records do not exit in OCLC/Aleph
- Items will be delivered to the CatMet
- The CatMet will make a decision on whether to catalog them,
depending upon the real situations
- Items will be distributed to proper units such as the
Social Sciences Unit or the Humanities Unit
- Cataloged records are to be save to the OCLC database
- The records may be loaded onto Aleph
- At the same time to Step 5, notify Nelda the availability
of the records in OCLC
