KOHLER VICTORIAN THEOLOGY PAMPHLET PROJECT
This project is formally known as the SOLINET/ASERL Cooperative Preservation Microfilming Project 7 and is scheduled to run from August 2004 until February 2006.
BACKGROUND
This project is a continuation of previous SOLINET supported grants to completely catalog the Kohler Victorian Theology Collection at the University of Florida. The goal for this phase of the project is to catalog approximately 785 theological texts in pamphlet and small monograph form. The proposed project, when finished, will complete two previous SOLINET/ASERL CPMP projects.

GENERAL GUIDELINES
CATALOGING AND METADATA DEPARTMENT:
The Rare Book Collection staff delivers 45 Victorian pamphlets each month to the project cataloger. These will constitute the "shipment" for that month. The parameters for preparing the bibliographic records are:
(1) Encoding Level will be K
(2) Description will follow AACR2
(3) Names and series will be verified, but authority records for them will not be contributed to the NACO program
(4) A minimum of 1 appropriate subject heading will be added to each record (for a list of some of the more commonly
used subject headings in the project, refer to

(5) Bibliographic records for the actual pamphlets themselves will not be sent to OCLC
(6) Verification that pamphlet being cataloged falls within the grant eligibility parameters:
(a) within date span of project: 1790-1900
(b) no offprints or reprints of journal articles
(c) no serial titles unless there is a complete run
(d) no OCLC records for other microfilm editions of this title exist dated 1989 or later
Within these parameters the Project Cataloger will
(1) Search each pamphlet in OCLC to locate records for the paper copy and/or for microfilm copy:
(a) If a record is found for the paper copy, import it into ALEPH and edit it
(b) If a microfilm record is found:
(1) If it is dated 1989 or earlier, attach a note to the envelope containing the pamphlet and send the envelope to
Preservation for evaluation as to whether the item is still eligible for cataloging under the grant
(2) If it is dated 1990 on, return the item to Rare Books, and another pamphlet is selected to take its place
(c) If there are two copies of a pamphlet, catalog them both, and attach a note to the envelope that there are two
copies
(2) Project Cataloger catalogs the pamphlet according to standard CMD cataloging practices. In particular, prepare the
following fields for inclusion in the bib record for the pamphlet:

No action is taken to barcode any of the pamphlets. (The envelopes are barcoded and the items are assigned the IPS code
of PO).
(3) Upon completion of cataloging, Project Cataloger counts work done in cataloging statistics in the normal counting
fashion, as items cataloged for Rare Books
(4) When the cataloging has been completed, Project Cataloger prints out the completed record and places this printout in
the envelope. Project Cataloger then forwards pamphlets to Project Cataloging Reviser
(5) Project Cataloging Reviser will review each record for cataloging accuracy and adherence to project requirements.
Project Cataloging Reviser will indicate on each record any corrections necessary, and then return records to Project
Cataloger for corrections, if any, to be made
(6) Following correction of any records returned by the Project Cataloging Reviser, Project Cataloger returns the pamphlets
to the Copy Control Unit in the Digital Library Center.
COPY CONTROL UNIT (DLC):
Staff member prepares the pamphlets for the microfilming process:
(1) Inputs bibliographic information into Filmlog database
(2) Attaches ALEPH printout to Project worksheet and places in appropriate envelope
(3) Generates packing list
(4) Verifies titles in shipment against packing list
(5) Wraps, packs and sends insured shipment to SOLINET
SOLINET:
Staff at SOLINET will:
(1) Verify that all pamphlets received meet eligibility requirements (returning those that do not)
(2) Film each pamphlet
(3) Prepare microfilm records with all the appropriate additional access points (007, 037, 099, 533,
539, 535, 776, 830 fields), using the bibliographic records we originally created
(4) Load these microfilm records into OCLC
(5) Return pamphlets to the Digital Library Center's Copy Control Unit
DLC's COPY CONTROL UNIT:
(1) Unpacks materials and inventories contents of shipment
(2) Discharges (removes IPS codes), stamps and returns volumes to Rare Books
(3) Enters microfilm data into Filmlog
(4) Generates the Microfilm Technical Information Reports (MTIRs)
(5) Forwards MTIRs and microfilm reels to Catalog and Metadata Department for
ALEPH holdings updates
This monthly cycle for accomplishment of work in the project will continue until completion of the project in January, 2006.
