Simple Copy Cataloging Workflow in Aleph 18

  1. Finding a bibliographic record:

    a. Choose the search tab (Binoculars), select the Find or Browse node
    b. Or, type a system number in the Cataloging bar search box


  2. Choose a record from the displayed list. Click on the show button to display the record in full format. If you searched using system number in the cataloging search bar you will not get a list and the record will be displayed in the editing pane. To put the record in the show pane choose View in Search, under Cataloging. When the list is displayed you can choose Full + Link, Marc Tags, Public view or Citation for your display.

  3. Click the cataloging button to open the record in the cataloging pane (upper right) for editing.

  4. Make changes to the record as needed. *Ctrl F will open some fields for editing like the 260 and provide available subfields for some others. Choose tab 2. Tag information in the bottom left pane to view information about the use of the field and subfields.
    *Editing contents is in insert mode; editing tags and indicators is in overwrite mode.

  5. Check authorities by clicking on the field and then pressing F3. Use the jump to button to modify the heading.

  6. If there is no call number you can find similar records in ALEPH with your record displayed in the Show pane (pull down cataloging and choose view in search or click on the View in search button on the catalog bar). **You must have "FULL + LINK" selected to perform the following functions. Click on your first subject heading and click “Show Like” to get a list of records with that subject heading. The list will be displayed in the cataloging pane (upper right) and the highlighted record will show in the bottom pane. You can page through these and then return to the record you were editing by clicking the records tab. You can also use the “Headings” button to display the subject including the authority record and all bibliographic records associated with this heading. Return to editing by choosing the records tab.

  7. With the record in the Show pane you can find similar records in the Library of Congress by using the “Locate” button. You cannot control the search. At present it is searching the two longest words in the title. You can return to editing by clicking the records tab.

  8. Save it to the server (CTRL + L) or icon on cataloging bar and click continue.

  9. Validation messages may come up at this point. Fix any that are necessary and use the override button to disregard others.

  10. Create a holdings record by selecting Tab 4. HOL in the bottom right pane and then clicking create. Highlight the holding record and click edit, the holdings record will appear in the upper right pane. Edit the record using Ctrl F to open the forms.

  11. Create item record:

    a. In the bottom left pane expand the UFU50 library node (click on the + in the box). Double click on the Items line and it will take you to the items tab.
    b. Click on New – complete the Holdings link first in the bottom pane (This will link this item to the Holdings record you just completed) – Click refresh which will automatically fill in fields and prompt you for areas not completed.
    c. Scan in barcode and fill in Material type, Item status and Item process status.
    d. Click on Add. Your item is now created.

  12. Check how it looks to the patron:

    a. Click on the Records tab (if holding is up; close either by clicking the first x on the cataloging bar or by clicking the edit bib record icon on the items bar) and then choose tab 3. Browser in the lower right pane. Press Ctrl + O or pull down cataloging and choose view in Web Opac. The Web OPAC record will appear in the bottom right pane.
    The view is Aleph default view not Endeca

  13. Check URL:

    a. Click on 856 field
    b. Under edit; choose Search and then Browse URL
