PUBLIC OWN Bibs Guideline
OWN code PUBLIC allows for global use of a particular bib record within the UF Libraries system. A holding for any Sublibrary may be attached to bib records with OWN code PUBLIC. Click here to view the existing system OWN codes.
Beginning January 8, 2007, PUBLIC will be used in place of the following OWN codes: CA, EN, HB, HC, JX, LF, LL, ML, NR, PI, UD, UF, and UI. When cataloging a new title, consider it an add if the title is already represented in the catalog with PUBLIC OWN or one of these other OWN codes. Do not download a duplicate bib record. If the OWN is not PUBLIC when you add your holding, change it to PUBLIC.
OCLC needs to be updated if the add is the first holding for your OCLC symbol. Manually attach the holdings in OCLC or run the OCLC Update macro (available in the Cataloging Macro Suite), which copies the OCLC number from the bib and places it in a file for batch processing later.

Editing
PUBLIC bibs can be edited by staff with the appropriate cataloging permissions. Because these records are shared, please adhere to the following:

Do add data to the record as desired.

Do correct minor errors, such as typos.

Do contact other Sublibraries with holdings attached as necessary to resolve problems.

Do contact other Sublibraries with holdings attached with information about ceased periodicals and other serials.

Be aware that the Herbarium (HB) and Plant Industry (PI) use LC-like call numbers, which should not be duplicated for non-HB and PI holdings.

Do not remove data because it might be needed by another Sublibrary.
Important: Be careful to preserve 650: 2: fields with MeSH headings. If a record with MeSH headings is overlaid in error, make sure MeSH headings are included when the correct record is downloaded.
Overlaying provisionals
When a provisional record exists for another library, check with that library before overlaying it. See contact list above.
