Overview of Library Catalog
The University of Florida library catalog contains bibliographic records that represent all the library's holdings, including affiliated collections (see Libraries & Collections). Access is not only provided locally through the catalog, but also through shared databases, such as the State University Libraries portal, the Florida Electronic Library, and OCLC's WorldCat. The catalog records conform to international cataloging and coding standards applied according to library best practices.
The library catalog appears to users and staff as a single, integrated file, but it is in fact composed of various types of catalog records. These types are identified on the catalog records in the following ways:
- Unit: prior to 2007, an OWN code designated the library unit responsible for record creation and maintenance (see Public OWN Bibs Guideline)
- Record status: an STA field may be present to indicate the level of copy
- Catalog record source: an 035 field provides source data (e.g., (OCoLC)41272148, (CStRLIN)ESTCT163887) as does a TKR field (e.g., (DGPO)govdoc19990509, YBPPROMPTCAT 20051112)
Adding Bibliographic Records to the Library Catalog
Records are added to the library catalog individually or in batches. Examples of batchloaded records include:
- Vendor records for ordered material
- GPO MARCIVE US federal documents records
- ETD (Electronic Theses and Dissertations) records
- E-journal Serials Solutions records
- E-book records (e.g., NetLibrary, Books 24x7, Early English Books Online (EEBO))
- OCLC Major Microform Set records
Adding any new file of catalog records to the library catalog has the potential to affect all aspects of library operations. As a result, the decision to do so necessitates careful review and planning.
Proposals for file loads should be submitted to the Assistant Director for Technical Services for approval and include the following:
- description of the collection including pertinent vendor information
- rationale for adding the file to the library catalog
- number, format, download instructions, and cost (if any) of associated catalog records and updates
- potential impact on library functions
The Assistant Director for Technical Services will consult with Library Council regarding file loads as needed.
The Cataloging and Metadata Department and the Acquisitions and Licensing Department process library catalog record batchloads. Each is responsible for defining the technical specifications and establishing a timetable for loading the files.
