Monographic Copy Adds

Added copies to titles already cataloged are received from the Acquisitions Dept. or directly from branch collections. All copies to new locations are to receive LC call numbers, regardless of classification followed for previous locations. The only exception to this will be books in a series classified as a whole in Dewey. Adds to the same location will receive the same call number as previous copies. The only exception to this will be added copies to the Marston Science Library (sci), Judaica Library (jud) and to the Library West (main) collection.. No new copies for "sci", "jud" or "main" will receive an NAL or Dewey call number, but will rather be assigned an LC call number. Copy adds to Dewey in "sci", "jud" and "main" locations will trigger a reclassification of the titles and should be hangled separately. (Adds to MSL Documents call numbers can continue with no change in classification).

    1. Check for classification practice of previous copies
        
      1. If previous copy was in LC, proceed to step II
          
      2. If previous copy was in Dewey but for a different location,  verify that an LC number is available from the bibliographic record and proceed to step II
        1. If no LC number is available from bibliographic record, the Unit Head of Copy Cataloging will supply one
             
      3. If previous copy was in Dewey for the same location as the copy to be added, add copy to Dewey class. Exception, added copies to "sci", "jud" and "main" locations will always be assigned an LC call number.

    1. Search book on LUIS by title, noting duplicate records of the same edition of the book (same publisher, pagination - printing dates may vary)
        
    2. Compare bibliographic record to book
      1. If it matches, proceed to step C
          
      2. Update or correct errors in the bibliographic record, as  needed (typos, missing i information)
           
      3. If it doesn't match, put book aside and return it later to Supervisor or Head of Copy Cataloging Unit.
           
    3. Call up holdings screen. Add copy in hand to proper copy statement.
        
      1. Use same call number as that for previous copies (even if there is now DLC copy with a different number). Exception: added copies to "sci", "jud" and "main" location will always be assigned an LC call number.
          
      2. Create item records for all new copies
          
      3. Be sure to add /2 or /3 or /x following location designation depending on the number of the copy being added
          
    4. Process book following normal procedures for new monographs
        
      1. Be sure to include c.2 or c.3 or c.x as part of call number written in book
    5. If no LUIS record can be located, return to Distribution Sr. LTA for searching as a new title. Follow procedure for "Adds to Unconverted Items" PR881017.
        
    6. If duplicate records are found on LUIS
      1. Choose one record to which to attach your copy holdings information (choose a record with an order record over one without; otherwise choose the most complete record) and update the holdings screen of the record you have chosen. Process book as indicated above
        1. Do not merge holdings from the other record(s), transfer item records, nor mark record(s) for deletion
            
      2. Make printouts of the holdings screens of all pertinent records, attach s.l. card if in hand, write any explanatory notes that may be helpful to Database Maintenance staff
          
      3. Give printouts and other information to Maintenance Unit Supervisor.
          
    7. If reclassification is needed, make printouts of the holding screens, write any explanatory notes that maybe helpful and give printouts to Database Maintenance staff.
