Serials in Temporary Locations ("Latest in:")
Directions for Staff Adding New Volumes
Add the new item as you normally would, with the following exceptions:
- assign the item a temporary location in Aleph by editing the Sublibrary & Collection drop-downs to where item will be held.
- give the item its temporary location in Aleph by putting a checkmark in the Temporary Location box to the right of the Shelving Status drop-down
- in the item form, enter 90 (for in-library use) in the item status box, or another value, if a circulating item.
- in the 85X type/linking no. box at the bottom of the item form, add a 3 so that the item will display in the Holdings area of the public catalog screen.
- Refresh and Update the tiem form.
- in the HOL for the permanent location, create a separate 863 for the new volume, using a subfield x rather than a subfield a, This makes it possible for staff to see what has been received, but keeps it from displaying twice to the public (once because of the 863, once because of the 3 in the 85X type/linking no. box).
- Remember that the 3 in the 85X type/linking no. will cause this item to display BELOW the older holdings, after a blank space.
- Place on the appropriate processing shelf.
Direction for Staff at Temporary Location
When you receive the new volume:
- Scan barcode to confirm item in hand has been processed correctly.
- Retrieve the previous edition and process it as shown below.
To process the older edition after the new edition is received and verified :
- Scan the barcode to bring up the item record.
- Delete the checkmark in the Temporary Location box of the item record.
- Change the item status of the serial from 90 (in-library use) to 01 (regular loan) if the item will circulate in its new location, and didn't before
- Delete the 3 from the 85X type/linking no. box.
- Click the Refresh and Update buttons on the item form. This should cause the sublibrary and collection to revert to the permanent location.
- Click Retrieve HOL to get a list of HOL records.
- In the pop-up box that appears, highlight the permanent location, if necessary, then click Edit.
- EIther change the subfield x to a subfield a, or delete the last 863 and edit the remaining one to show the correct range of years.
- Route the older edition to its final location, if applicable.
