General
Conditions of Work for Student Employees
Work
Schedules
-
Work Schedules
are negotiated between the employee and supervisor at the time of employment
and are expected to remain in effect for the academic term of employment.
-
All library
employees are expected to report to work on time and to remain on duty
for the work period as scheduled.
Schedule
Changes and Absences from Work
-
Schedule
changes must be requested in advance. Change requests should be submitted
to the supervisor at least one day before the anticipated change date.
It is the employee's duty to find a replacement for assigned desk duty
to the extent possible. Emergency changes are understandable, but
frequent schedule changes are disruptive and an inefficient use of staff
time.
-
Personal
illness or emergency is the only circumstance which excuses an employee
from duty without advance notice. In such cases, the supervisor should
be notified as soon as possible in advance of the scheduled work
shift to be missed.
Breaks
-
Library
employees who work more than 3.5 hours on a single shift may take a 15-minute
break. Breaks are taken outside the work area. Breaks should not
be taken at the service desk. Breaks may not be taken at the beginning
or end of shifts. Breaks may be not be "banked" for a longer
break on a future shift. Breaks are a "use-it-or-lose-it" benefit.
Work Assignments
-
Each employee
is provided a Position Description which generally describes duties of
the work assignment.
-
Specific
work assignments are regularly provided by the supervisor of the work area.
In addition to transactions with patrons and special tasks, there are normally
routine activities wich should keep the employee continually occupied.
-
Employees
should talk minimally (and quietly) to each other at work, particularly
around the service desk area where conversation is annoying to the public.
Typical
Workday
At
the beginning of a work shift:
-
Record
beginning work time on timecard. Check in with a supervisor.
-
Review
memoranda posted for student employees. Check "mailbox" in the circulation
office.
-
Undertake
supervisor's assignment. If assignment is unclear, see supervisor.
At
the end of the work shift:
-
End current
project at desirable stopping point.
-
Return
any supplies used to proper place.
-
Return
booktrucks to the TBS area.
-
Record
ending work time on timecard.
Study
at work
-
Employees
may not study or pursue personal library research while on duty unless
permission has been obtained from the supervisor. If lacking a current
work assignment, an employee should consult with the supervisor--or, if
the supervisor is unavailable--another staff member.
Public
Demeanor
-
The
AFA Library is a public service agency. The public should always
be treated courteously. A patron's needs are handled as a priority
and with promptness.
-
An employee's
manner and dress should be appropriate to the public served.
-
The AFA
employee should be clean, well-groomed at all times. Bare feet. Bare midriff,
cutoffs, extremely short shorts, gym/running shorts, and tank tops are
not allowed. The supervisor will make final judgments as to the appropriateness
of dress, and may request that an employee go home to changes if attire
is inappropriate.
Telephone
and Equipment Use
-
The AFA
Library telephones are for conducting library business. Patrons should
be advised to use phones in the FAC, Architecture, or Little Hall building
lobbies. Friends and acquaintances should not be advised to call
the Library except for emergency situations. Since student employees
rarely work more than 10-15 hours per week, emergency situations will hopefully
be rare.
-
Staff
computers and other equipment such as the fax machine and photocopiers
are to be used for library business only.
Getting
Paid
-
Pay
Period: The pay period begins on
Friday and includes a two-week period ending on a Thursday. Each
library employee is issued a timecard for this two-week period.
-
Timecards:
Timecards are filed alphabetically by employee last name in the timecard
box maintained in the Circulation Area. (This box is for timecards
and work-related messages only.) The timecard should be signed immediately.
Daily time totals are recorded on the timecard. Willful deceit in
the recording of time worked will result in termination of employment.
-
Working
Hours Limitations: No student is
allowed to work for the University more than 40 yours in one work week.
Students may not work during times for which they are scheduled for a class.
Work permits identify restrictions in hours that can be worked. Any
student who works another job on campus in addition to the AFA Library
job should notify his/her supervisor immediately.
-
Receipt
of First Paycheck: Payroll sign-up
may unavoidably delay the receipt of the firstpaycheck due. After
the first check is received, another is issued every two weeks.
-
Paycheck
Pick-up: Checks are available for
employee pick-up at the Circulation Desk after 12:00pm on payday Friday.
The Check Receipt Form attached to the paychecks envelope should be signed
by the employee when the check is picked up. Payment is for the period
ending one week earlier. The employee should make every effort to
pick up the check on the Friday that it arrives at the AFA Library.
