Price per issue – there is a
$50.00 limit.
If item is over $50.00 whose
approval is needed to order the item? This is a gray area.
Carol believed it was Kendra, Doug
believes it is collection management (selectors).
Budget
constraints probably prohibit this.
Workflow: Kendra creates request
for backorder. Carol processes it. If Carol gets a response from the publisher,
she then contacts Kendra with the cost of the item. Kendra then contacts the
selector to see if he or she wants to spend the money on the item. If the
answer is yes, Kendra forwards this back to Carol to reorder the item.
Some
sort of response to “request for backorder” would improve workflow.
Some
items, when the backorder or claim comes in from publisher, are not marked as
such.
When a
claimed item arrives, Daniel will bring it to Doug to process it or put it in
the Pres/Bind bin labeled appropriately for Kendra.
Kendra
should try to differentiate between a binding claim (i.e. we have 1,2, & 4
and want to bind) and a non-binding claim.
Rule of
Thumb
1 year old
or more should be backordered.
Less than
1 year old should be claimed.
Erasing
backorder notes:
If
resource services get the item, they clear the note. Doug said they would not
do this in the future.
Preservation
pays for the preservation copy while the selector pays for the “main” and
microfilm copy.
This
set up can be problematic for technical services: claiming can be a mess.
We
should investigate the possibility of ordering the Pres/Bind copy pre-bound.
Currently there are 80 – 90 items;
if the test project works it will be expanded.
