In attendance: Cathy Mook, Lori Driscoll, Dee Hawes, Kendra Carter, Marie Kennedy.

 

During this first meeting of the Library West Periodicals Transition Team both short-term and long-term goals were discussed. They are as follows:

 

Highlights of short-term goals:

 

1.      Backlog is unmanageable and needs to be dealt with immediately.

2.      Kendra will continue to train new student to work on new, complete titles so that she can focus on backlog.

3.      ZERO pulling of periodicals will take place, from current/loose OR bound, for AT LEAST one month.

4.      During that month, Kendra and Cathy, with help from Dee and students, will organize ALL backlog in Preservation.

5.      Space will be made for backlog is Preservation by shifting holding area for theses and dissertations.

6.      Theses and dissertations will move into Paged collection temporarily.(Hopefully only for 3 or 4 graduating classes) Lori and Cathy toured area and selected specific shelves. These shelves will be spaced appropriately for theses/dissertations, and fob access for Cathy M., Jan H. and Kathy Connor will be allowed for Paged room in Room 100.

7.      Shelves in Preservation that will hold backlog will be organized by classification system and then by call number.

8.      As organization occurs, “onesies” (single items that are not part of a bigger set) will be pulled out for pamphlet binding.

9.      Over the course of the summer, intense effort will focus on binding the backlog, as a team.

10. Question: Under this plan, the number of back orders will rise dramatically. What if there is not enough money to do this?

11. LAD stuff is a low priority. Africa is not.

 

Highlights of long-term (Fall 2002 and beyond) goals:

 

1.      Have a web page with minutes from the meetings posted for all to see.

2.      Two trucks in hall of LW; one will be labeled “old,” one “new.”  New is for Leondra, old is for Kendra.

3.       Dee will not have to pull anymore on a really regular basis.  Kendra and Binding Unit Head will perform these functions.

4.       Volumes pulled for binding will have item records created and be charged to a patron card within 48 hours of pulling. Access to all periodical materials will be easy and straightforward for students, no matter where in the binding process the piece is.
