Review of Aug. 29, 2002 meeting (via minutes).  Group agreed to permanently change the PIG meeting time to the third Thursday of each month at 10AM.

Meeting topics:

African approval materials

Question (Cathy): There are 11 boxes of African periodicals sorted by country (7 countries).  Where should Preservation be looking to finally gather all of these loose periodicals and bind them?

Answer:  Cataloging might have some, but shouldn’t be too many, if any.  Most would be in blue boxes (‘ZN’ closed order records) or in current (‘BN’ open order records).

Loose things with storage as a location are caught by Dee for binding before they go out to LAD.

Cathy described suggestions for information on spine and volume holdings.  ‘(unbound)’ will be take out of volume holdings after they are bound by Preservation.  But, the same ‘(unbound)’ notation will be put in and continue to be used for all new African periodicals that are sent over to Library West as a loose copy.

Preservation will start busting out the 11 boxes and work on getting them organized and ready for binding.  This may take a while so let’s all be patient!

Pulling periodicals from Library West for binding

The group will revisit the ‘bust-out’ progress and directional signage issues in the January 2003 PIG meeting.  This way we will be able to check the progress and decide how to proceed from there.

CD-ROM  security case project

Cathy explained pilot project that is coming to an end as well as some of the rationale behind it:

  1. Clear out CD’s from Reference Reserve
  2. Better access / circulation for these electronic resources
  3. Standardize workflow for processing new CD’s that come with serials
  4. Security

Meeting will be held with members from Preservation, Resource Services, Access Services, and Collection Management to discuss the success of project and how to proceed with making it policy if so desired by those involved.  Cathy will update the group at next meeting in November.

Respectfully submitted,

  Doug Kiker
